Manage MDF Budgets

Overview

Budgets allow you to define an amount of funds for use by particular people or groups, for specific purposes.  Most budgets are set up to manage MDF funds made available to partners.

Each budget is time-bound and has a defined allowance (in currency or points). Spending of the funds must be approved and is restricted to partners who meet explicit criteria.

Once you have set up your budgets, you will want to review comprehensive information about how all of the budgets are performing, both individually and collectively.  The Budget Summary (Partner ManagementBudget Summary), allows you to view this information on a single page.  This screen may also include Fund Types information for those who use this legacy version of budgets. Funds are an alternative to budgets.

Before You Begin

  • Budgets are available to Professional and Enterprise level users.
  • If you previously used ZiftMarcom, your Fund Types will pull into Unifyr One.
  • If you are using an external solution to manage your MDF program, you will need to have your Unifyr One team set this up for you.
  • If you plan to limit MDF by partner criteria, please see Add a Partner Group.
  • Enter funding amounts according to the currency-based MDF model or the points-based MDF model your account is set up for.

How to View the Budget Status

Budgets can be active or inactive. To filter the budgets by status do the following:

  1. Click on Status.
  2. Select Active or Inactive
  3. The budgets will be displayed. You will see Status as an option in the grid display.
Parameter  Type  Description 
Budget Name  Text A user-friendly name describing the use and purpose for this budget. 
Total Amount Number The amount of funds allocated to this budget. 
Start Date   Date  Select the date when this budget becomes available. 
End Date  Date Select the date when this budget is closed.
Status   Budgets can have a status of Active or Inactive. If the budget is Active, click the trashcan to Activate it. If the budget is Inactive, 

How to Create an MDF Budget

Budget monies are available immediately to partners. An email will be sent to the partners that they have MDF monies available.

  1. Navigate to Partner ManagementBudgets.
  2. Click Create New.
  3. In the Details screen, provide the following information:
Parameter  Type  Description 
Budget Name  Text A user-friendly name for this budget. 
Description   Text  A short informative text describing the use and purpose of this budget.
Amount   Number  The amount of funds allocated to this budget. 
Start Date   Date  Select the date when this budget becomes available. 
End Date  Date Select the date when this budget is closed. The End Date is optional.
  1. In the Criteria screen, select which partners will be able to request funds from this budget. You can specify existing partner groups or select More Rules to define specific rules for this budget. 
    1. Rules: Define the criteria that a Partner must match to be included in or excluded from the group.
    2. [Optional] Click + Add Rule to add a new AND condition.
    3. [Optional] Create a New Rule Group to add OR conditions.
  2. Click Save & Continue.
  3. In the Approvers screen, select who at the supplier will have the authority to approve requests.
    • You should specify a default approver. Default approvers will be notified when a request is received for which no matching approver can be identified.
    • Defining a rule defines the criteria under which the approvers will respond to the different requests. This is optional.
  4. Click Save Rule.
  5. Click Save & Continue.
  6. In the Review screen, review all the information to ensure it is correct. In this screen you can change the %Allocated for individual partners.
  7. Click Save Budget.

How to Deactivate and Archive Budgets

Budgets cannot be deleted. To archive a budget, do the following:

  1. Navigate to Partner ManagementBudgets.
  2. In the Details screen, click the trash can.
  3. Click OK to inactivate or archive the budget.

How to Reactivate an Inactive or Archived Budget

To reactivate a budget, do the following:

  1. Navigate to Partner ManagementBudgets.
  2. In the Details screen, click on the Status and select to display Inactive budgets.
  3. Select the budget to activate.
  4. On the Details screen, change the End Date to a future date.
  5. Click Save & Continue.
  6. On the Criteria screen, click Save & Continue.
  7. On the Approvers screen, click Save & Continue.
  8. On the Review screen, click Update Budget.
