Building an LMS

Overview

A Learning Management System (LMS) is built from three main building blocks: Modules, Courses, and Certifications.

Modules are pieces of training content, delivered as standalone tasks or added to a Course. You can add a Quiz to a Module to test your partner's knowledge after completing the Module.

Note

Quizzes are only supported for Modules that are part of a Course.

Courses are usually made up of Modules, although you are permitted to create a Course with no Modules. A Module can be reused across multiple Courses, if required.

Courses allow for informal access to training content. When you create a Course, it can be made directly available in the partner portal, under the Courses page or Training Content pages, or you can add it to a Certification.

A Certification is a more formal qualification, optionally with a certificate of completion. A Certification is made up of Courses, and must include at least one. Courses can be reused across multiple Certifications, if required.

Create a Module

There are two ways to create Modules:

  • Create them directly in Partner Management > Learning Management > Modules.
  • Create them when creating or editing a Course in  Partner Management > Learning Management > Courses.
  1. Click Create Module.
  2. In Create Module, complete the requested information.

    Field Type Description 
    Module Name Text The name of the Module.
    Description Text A description of the Module - for example, a summary of the contents.
    Portal Image Select

    [Optional] An image to show as a thumbnail for the Module in the partner portal.

    Supported file types:

    • .jpg
    • .gif
    • .png

    Image size recommendation: 270px (w) x 160px (h)

    File size limit: 2MB

    Courseware File Upload / URL

    The file that holds the Module’s training content. Upload or link one file per Module.

    Choose one of these options:

    • Upload - use Upload File to add the content.
    • URL -  add the URL to the content in the Courseware URL field. You then can choose the way the file should open, with options in the Open in field.

    These file types are supported for courseware:

    • SCORM - .zip - maximum file size 900MB
    • Videos - .mp4 - maximum file size 500MB
    • Presentations - .ppt, .pptx, .pps, .ppsx - maximum file size 500MB
    • Documents - .pdf - maximum file size 50MB
    • Images - .png, .jpg, .jpeg, .svg, .webp - maximum file size 20MB

    (note that Unifyr One does not automatically compress files).

    Notes about training content:

    • Partners must watch the first 50 seconds of a video for it to be marked as watched.
    • If a video is less than 50 seconds, partners must watch 50% for it to be marked as watched.
    • Partners must view the Module’s training content before they can access the Quiz associated with it (if applicable).
    • Partners must view the Module’s training content AND pass the Quiz associated with it (if applicable) before a Module can be marked as complete.
    • Partners can access a Module’s training content after they have completed the Module.
    • A SCORM upload can include a Module and a Quiz.
    Open in Dropdown

    [If URL is selected in the Courseware field]

    Choose the way in which the module content will open when the user clicks on it in the portal:

    • New Tab (default) - in a new browser tab
    • Lightbox -  i-framed on the training page

      Not all URLs can be shown in an iframe - for example, YouTube block this. You may be able to use the URL from any embed code that's available for the content.

    • In-page - embedded in the training page
    Quiz Dropdown 

    [Optional] The Quiz to assess the partner’s understanding of the Module's training content. Select one Quiz from the dropdown list.

    See the Create a Quiz section of this article for steps on creating a Quiz.

    Note

    Quizzes are only supported for Modules that are part of a Course.

    Publish Checkbox [Optional] Enable this option if you are ready to make this Module available to partners as a standalone task. If the Module will only be added to a Course, leave this box unchecked to ensure that only users with access to the Course will see it.
    Tags Multi-select

    [Optional] The tags that categorize the Module.

    Tags can be used to filter training content to your partners - select the applicable tags when creating/editing Modules, then your partners can use them as filters when searching for training material in the partner portal.

    You manage the available tags in   > Settings > Tag ManagementLMS. For more information, see Tag Management.

  3. Click Save Module.

Technical Requirements for SCORM Files

These are the Unifyr One LMS technical requirements for SCORM files uploaded as training content.

Create a Course

To create a Course, follow these steps:

  1. Navigate to Partner Management > Learning Management > Courses.
  2. Click Create Course.
  3. In Create Course, complete the requested information.

    Course Name Text 

    The name of the Course (must be unique). 

    This name will be displayed in the partner portal.

    Description  Text [Optional] A description of the Course - for example, the intended audience, a synopsis of the content, the estimated time to complete.
    Portal Image  Upload 

    [Optional] An image to show as a thumbnail for the Module in the partner portal.

    Supported file types:

    • .jpg
    • .gif
    • .png

    Image size recommendation: 270px (w) x 160px (h)

    File size limit: 2MB

    Modules Multi-select

    [Optional] The Module or Modules that make up the Course's training content. Select each one from the dropdown list, then drag and drop into the required order.

    Click the X next to a Module to remove it from the Course.

    If there are no Modules available, you can create one by clicking Create Module. For information on creating a Module, see the Create a Module section of this article.

    Modules can be reused in multiple Courses. 

    If you set up a course with no modules, you can confirm that the partner has completed the course in Partner Management > Training Progress. For more information, see Managing Partners' Training Progress.

    You can link a course with no modules with a Partner Event, and then use the Attendees page of Partner Portal > Partner Events to confirm attendance of the course. This will also mark the course as completed.

    Publish to the portal Checkbox [Optional] Enable this option if you are ready to make this Course available to partners as a standalone Course. If the Course will only be added to a Certification, leave this box unchecked to ensure that only users with access to the Certification will see it.

    Start Date

    End Date

    Calendar

    [Optional] If Publish to the portal is enabled

    Use Start Date and End Date to specify the dates on which the standalone Course will be provided to partners in the portal. 

    A Start Date is required. Leave the End Date blank to make the Course available indefinitely.

    If no dates are set, or if the current date is not within the range set here, the Course will not be available to portal users.

    Partner Groups Dropdown list

    [Optional] If Publish to the portal is enabled

    Select which Partner Groups will have access to the standalone Course.

    If no Partner Groups are selected, the Course will be visible to all partners.

    Tags Multiselect

    [Optional] The tags that categorize the Course.

    Tags can be used to filter training content to your partners - select the applicable tags when creating/editing Courses, then your partners can use them as filters when searching for training material in the partner portal.

    You can also set the Courses page to only display content in the portal that is tagged in a certain way.

    You manage the available tags in   > Settings > Tag ManagementLMS. For more information, see Tag Management.

  4. Click Save Course.

Create a Certification

To create a Certification, follow these steps:

  1. Navigate to Partner Management > Learning ManagementCertifications.
  2. Click Create Certification.
  3. In New Certification > Details, provide the requested information.

    The name of the Certification (must be unique). 

    This name will be displayed in the partner portal.

    Description  Text

    Include notes of any Certifications that must be completed before starting this one.

    Prerequisite Certification Dropdown

    [Optional] The Certification that must be completed before the user can begin this one. Select one from the dropdown list.

    Click the X next to the Certification to remove it as a prerequisite.

    Certificate Template Dropdown

    [Optional] The Certificate that partners will earn when they complete this Certification. Select the template for the Certificate from the dropdown list.

    Click the X next to the template to remove it.

    Tags Multi-select

    [Optional] The tags that categorize the Certification.

    Tags can be used to filter training content to your partners - select the applicable tags when creating/editing Certifications, then your partners can use them as filters when searching for training material in the partner portal.

    You can also set the Certifications page to only display content that is tagged in a certain way.

    You manage the available tags in   > Settings > Tag ManagementLMS. For more information, see Tag Management.

  4. Click Continue.
  5. In New Certification > Courses, select the Course or Courses that make up the Certification. You must add at least one.

    There are two options here:

    • Choose an existing Course from the dropdown list
    • Click Manage Courses to create a new one - the Courses page opens in a new browser tab. Click Create Course then follow the steps given in the Create a Course section of this article. Once you've created the Course and saved it, you can return to the New Certification tab in your browser, and select the new Course from the Choose courses dropdown list.

      You may need to refresh the New Certification tab to see your new Certification in the dropdown list.

  6. [Optional] Repeat the previous steps to add more Courses to the Certification.
  7. Click Continue.
  8. [Optional] Check the Publish to the portal box if you are ready to make the Certification available to partners.
  9. [Optional] If Publish to the portal is checked, use Start Date and End Date to specify the dates on which the Certification will be provided to partners in the portal. 

    A Start Date is required. Leave the End Date blank to make the Certification available indefinitely.

    If no dates are set, or if the current date is not within the range set here, the Certification will not be available to portal users.

  10. [Optional] If Publish to the portal is checked, select which Partner Groups will have access to the Certification.

    If no Partner Groups are selected, the Certification will be visible to all partners.

  11. Click Finished.

Create a Quiz

You can add a Quiz to any of the Modules in your Courses. This is optional.

Notes about Quizzes:

  • A Quiz is added to a Module, which in turn can be added to a Course (and the Course added to a Certification, if applicable).
  • Only one Quiz can be added per Module.
  • Quizzes currently support multiple-choice and multi-select questions. Each question has a score and the user's total score determines if they've passed the quiz. The user's final score is a percentage, based on their point score from correct answers as a percentage of the total number of points available for all questions.
  • Quizzes can be translated.
  • You can give users a review of their answers after taking the Quiz.
  • Quizzes can be reused in multiple Courses. If a partner passes a Quiz in one Course, their score will be applied anywhere that Quiz is used and the Quiz will be marked as complete.
  • You can edit a Quiz at any time. Once a Quiz is made available to partners, subsequent changes will not affect partners who have already taken the Quiz and passed.
  • Partners can retake a Quiz as many times as they like until they pass.
  • Partners must view a Module’s training content before they can access the Quiz associated with it (if applicable).
  • Partners must view a Module’s training content and pass the Quiz associated with it (if applicable) before the Module can be marked as complete.
  • If you revoke a user's progress against a Module, they'll have to take both the Module and the Quiz again.

To create a Quiz, follow these steps:

  1. Navigate to Partner Management > Learning Management > Quizzes.
  2. Click Create Quiz.
  3. In Create Quiz, provide the requested information.

    Label Type Description 
    Quiz Name Text

    The name of the Quiz.

    We recommend a name related to the Module with which it will be associated.

    Introduction Text

    [Optional] Introductory text to be displayed on the first page of the Quiz. 

    Leave this field blank to go straight to the first question when the user opens the Quiz.

    Questions  Form

    The list of questions in the quiz. Click Add Question.

    For each question, complete the information in Question Details:

    • Question: The question.

      At least one question must be added to a Quiz. Questions must be 200 characters or less. 

    • Answers: The answer choices for the question.

      Each question must contain at least two answer choices. Click Add to add further choices. Answers must be 150 characters or less. Drag and drop the answer choices into the order you want them displayed.

      Check the Set as correct answer box to specify which answer is the correct one. You can define multiple answers as correct, to provide a multi-select option.

    • Points:  The number of points to be awarded when the question is answered correctly.

      10 points are allocated to each question by default.

    Click Apply when you've finished adding a question. Repeat these steps to add as many questions as you need.

    Click the X next to a question to remove it from the quiz.

    Pass Score Percentage 

    Define the percentage of the total score a partner must reach to pass the Quiz. 

    The default Pass Score is 100%.

    Review Answers Checkbox

    Enable the Allow a user to review their answers after completing this quiz option to show the user which answers they answered correctly, and which they got wrong. 

    The user won't see the correct answer for the questions they answered incorrectly.

  4. Click Save Quiz.

To add a Quiz to a Course or Certification, follow these steps:

  1. Navigate to the Module to which you want to add the Quiz (Partner Management > Learning Management > Modules) and open it for edit.
  2. In the Quiz field, select the Quiz from the dropdown list.
  3. Click Save Module. The Quiz is now associated with the Module.
  4. Add the Module (with its Quiz) to the required Course. If you subsequently add the Course to a Certification, the Quiz will appear there too.

To delete a Quiz, you must first remove it from any Module with which it is associated. Click the X next to the Quiz in the Quiz section of the Update Module window. You can then come back to the Quizzes page and delete the Quiz.

Unpublish a Module/Course/Certification

To remove a Module/Course/Certification from the portal, you have two options:

  • Edit the Module/Course/Certification and uncheck the Publish to the portal option. The item's status will change to Not Published.
  • Leave it to expire based on its Effective Dates. The item's status will change to Ended.

Archive a Module/Course

To remove a Module/Course from the Modules/Courses list, you can archive it. This will hide it from both the portal and the Admin view but will preserve partner progress information. Archived Modules/Courses can be restored at a later date.

  1. Navigate to Partner Management > Learning Management and choose Modules or Courses.
  2. Click on the Module/Course you want to remove, to open it for edit.
  3. Click the red Archive buttonThis option is only available after a Module/Course has been saved.

  4. Click Save Module or Save Course.

Archive a Certification

To remove a Certification from the Certifications list, you can archive it. This will hide it from both the portal and the Admin view but will preserve partner progress information. Archived Certifications can be restored at a later date.

  1. Navigate to Partner Management > Learning Management >Certifications.
  2. Click on the Certification you want to remove, to open it for edit. 
  3. Go to the Publish step of the Certification timeline.

  4. Click the red Archive button. This option is only available after a Certification has been saved.
  5. Click Finished.

Restore an Archived Module/Course

You can restore a Module/Course that has previously been archived.  This will display it on both the portal and the Admin view according to publication status, visibility rights, and effective dates.

  1. Navigate to Partner Management > Learning Management and choose Modules or Courses.
  2. Select Archived in the Status filter, if required. This refreshes the display to include Modules/Courses that are currently archived.

  3. Click on the Module/Course you want to restore, to open it for edit.
  4. Click the green Restore button. This option is only available after a Module/Course has been archived.

  5. Click Save Module or Save Course.

Restore an Archived Certification

You can restore a Certification that has previously been archived.  This will display it on both the portal and the Admin view according to publication status, visibility rights, and effective dates.

  1. Navigate to Partner Management > Learning Management > Certifications.
  2. Select Archived in the Status filter, if required. This refreshes the display to include Certifications that are currently archived.

  3. Click on the Certification you want to restore, to open it for edit.
  4. Click Publish in the Certification timeline.

  5. Click the green Restore button. This option is only available after a Certification has been archived.
  6. Click Finished.
  7. The Certification is restored, with a status of Not Published. You can make any edits you need, then publish it.

Add Modules/Courses/Certifications to the Partner Portal

These feature pages are available to add training content to your portal:

  • Courses
  • My Courses
  • Certifications
  • My Certifications
  • Training Content (Courses and Modules)
  • My Training

Or you can add the Training feature bundle to your site navigation to make two of the pages available to your selected partners:

  • Certifications
  • My Certifications

To add the features pages to the portal:

  1. Navigate to Partner Portal > Site Configuration.
  2. Add the feature page to the required site view. For more information, see Adding Feature Pages to the Partner Portal.
  3. [Optional] Click on the page entry in the navigation and edit any of these properties in Page Details:
    • Name - set the display name of the page in the partner portal
    • Visibility - specify the Partner Groups that have visibility of the page
    • Content Selection - create a subset of available Module/Course/Certification content to deliver in the page, by selecting the tags that categorize the content. Using tags allows you to create a page dedicated to a particular training topic. If you don’t select tags here, all available content will be presented on the page.
    • Show Tag Filters (for Courses and Certifications pages) - choose whether to enable a filter on the page, based on the tags you have configured for Courses/Certifications. Your partners can use the filter to make finding relevant content easier.
  4. Click Save and Close.

This is an example of what a Training > Courses page can look like in the partner portal.

If you've added filters based on tags to your page, the filters list will show those tags that have been assigned to learning content. If a tag isn't used in content, it won't appear in the filters list.

Note

If you've added a pre-filter based on a single tag from a category, a filter for that category is not shown. The filter is not needed as all content is tagged the same.
