Pending Partners

Overview

When a prospective partner applies to join your Unifyr One partner program, either by invitation or via self-registration on the portal, they complete an application form and submit it to you. The next steps depend on your system setup - their request will either be auto-approved (known as Auto-Onboarding in Unifyr One) or you'll need to review and approve/reject their application. 

If you are required to accept partner applications, each prospective partner's details will wait in the Pending Partners queue (Partner Management > Pending Partners) for attention.

You decide how partner applications should be processed during your system implementation phase. These options are available:

  • Partner Auto Onboarding
    • On - any partner that registers is automatically approved and no partner vetting takes place.
    • Off - partners must be approved by the supplier before they have access to the partner portal.
  • Domain Matching
    • On
      • Potential partners whose email domain does not match an existing partner's domain will be auto accepted and the account will be created for this partner. This partner passes to the status of Partner Activated. You can see this partner immediately on the Partner Management > Partner Explorer list.
      • Potential partners whose email domain does match an existing partner’s domain will appear on the Partner Management > Pending Partners list. You have the option to add the potential partner as a new account or to add it as a user to an existing partner’s account.
    • Off
      • All potential partners will pass to a status of Pending.
      • You manually approve or disapprove every new partner request in Partner Management > Pending Partners.

When you approve a pending partner request, an email is sent to the partner to create a new user on the partner portal.

When a partner has been approved, they're listed in the Partner Management > Partner Explorer > Partner Accounts list. The partner administrator will be able to use the Unifyr One partner portal to add users, take training, build marketing campaigns, follow up on leads, etc.

Pending Partners View

Pending partners have a status attached, which indicates their current step in the registration process. You can filter the list by this value. We show only the pending partners that require your attention by default, but you can use the filter to view previous registration requests.

To view the list of pending partners, navigate to  Partner Management > Partner Explorer > Pending tab.

Note

In Unifyr One Admin, administrator users and users that have the Allow Access to All Pending Partners/Users setting enabled can see your Pending Partners list. For more information, see Allow Users to Approve Pending Partner Requests.

You can use filter options to search and organize the data in the Pending view:

Status

The status of the partner's registration: 

  • Pending - The prospective partner has completed the registration and is awaiting approval from the supplier.
  • Rejected - The supplier has rejected the registration of a prospective partner. 
  • Match Pending - Unifyr One will automatically try to match a partner to an existing partner based on their email domain - looking for any existing users who have the same email domain. If Unifyr One finds a match, the supplier will be given the option to Add User to the existing partner account. If they select this option, the partner is given a status of Match Pending while the supplier waits for administrators of the current partner account to approve the new user. The supplier can elect to Resend Approval Request to the Administrators of the existing partner account.
  • Matched - In the scenario above, once an Administrator of the current Partner account approves the new user, the partner will be given the status of Matched. The supplier can click View in Partner Explorer to be taken to the partner account to which the new user has been onboarded.

Custom Partner Fields that are unique to each partner.

Toggle a filter for each custom field on or off by checking the corresponding box. 

Clear All Reset all filters and display all pending partner accounts.

Allow Users to Approve Pending Partner Requests

By default, your administrator users can approve/reject pending partner requests. You can also give other users the privilege by setting the Allow Access to All Pending Partners/Users setting in their user account.

  1. Navigate to   > Settings > Users.
  2. Find the user whose account your want to update, and click on it to open it for edit. The user must have Partner Data Restrictions set. for more information, see Adding a Unifyr One Admin User.
  3. Enable the Allow Access to All Pending Partners/Users setting.
  4. Click Save.

The user can now manage all new partner registrations/invitations and new user registrations on existing partner accounts. Their partner data restrictions don't apply in this context.

Approve a Potential Partner's Pending Registration

If you do not have the partner domain matching feature or auto onboarding configured, you can approve or reject potential partners manually. Once potential partners are approved, an account is created in Unifyr One. The partner will have access to the partner portal after creating a password and agreeing to the Terms and Conditions.

  1. Navigate to Partner Management > Partner Explorer > Pending.
  2. Find the partner's name in the list and click on it to open the account information. You can use the filter to restrict the list to users of status Pending.
  3. Click Approve as New Partner to add a new partner account. The potential partner is sent a welcome email asking them to create a password for their account.   

    Here is an example of the welcome email sent to approved potential partners:

    The potential partner can then enter a password for their new account and accept the supplier's Terms and Conditions. Once they've accepted the Terms and Conditions, the partner will have access to your Unifyr One partner portal.

Potential Partner's Pending Registration with Partner Domain Matching

If Domain Matching is activated, Unifyr One will automatically try to match a partner to an existing partner based on their email domain - looking for any existing users who have the same email domain. If there is a unique match, the registration is routed directly to the partner to approve - all partner administrators will receive an email notification, and can view them on the User Management page on the partner portal. If Unifyr One does not find a match, or finds multiple matches, the supplier must decide whether to create a new partner account or to attach the new record to an existing partner account.

  1. Navigate to Partner Management > Partner Explorer > Pending.
  2. Find the partner's name in the list and click on it to open the account information.
  3. If there are email domain matches in the partner detail view, select one of the following:
    • Click Approve as New Partner to create a new partner record.

      A welcome email is sent to the user to complete their registration.

    • Click Add User to add the user to an existing partner account.

      The registration is sent to all the existing partner's Administrators to review.

Disable Matching

If you do not wish to use automatic domain matching, submit a request to have the option disabled to your Unifyr One team.

Edit a Partner's Pending Invitation

As a supplier, you can edit a pending partner registration to add details to the partner such as tier, country, or language. You can also add values for any of your custom Partner fields. 

  1. Navigate to Partner Management > Partner Explorer > Pending.
  2. Find the partner's name in the list and click on it to open the account information.
  3. Select Edit Pending Partner.
  4. Make changes to any of the available fields (includes your custom Partner fields).
  5. Click Save.

Reject a Potential Partner's Pending Invitation

When a supplier rejects a pending partner's registration, the status of the pending partner record is set to Rejected. This action cannot be undone.

Follow these steps to edit a potential partner’s registration.

  1. Navigate to Partner Management > Partner Explorer > Pending.
  2. Find the partner's name in the list and click on it to open the account information.
  3. Click Reject. You're asked to confirm that you want to proceed with the rejection.
  4. Click Reject.
