Tag Management

Overview

Tags provide a way for supplier Administrators to classify content. In Unifyr One, you and your partners can use tags to sort and filter, allowing you to easily locate content. 

Use tags to categorize your assets for Marketing Activities, Library Content, Social Content, Portal Posts, and LMS (training) Content. When content is tagged, you will also be able to perform bulk operations and manage your data. For more information, see these articles:

When changes are made to tags, content items will be updated to reflect the changes. If you delete a tag that has content linked to it, the tag will automatically be removed from any associated content. 

Unifyr One provides the option to translate your Tags into multiple languages. For more information, see Translate a Content Tag.

Channel Marketing Leader, Channel Sales Leader, Partner Marketing Director, Partner Channel Sales Director, or Partner Channel Account Manager.

Before You Begin

Consider creating a tagging governance document that outlines what tags you need and how they will be used. Once the tags are created, you can build and tag marketing activities, library content, and campaigns. This article assumes you are adding tags to the pre-built tagging structure you set up with your Unifyr One team during implementation. For more information, see About Tags and Taxonomy.

Users must have permission to create or edit tags. The user must have a role of System Management > Tag Management. Permissions can be edited in Advanced Administration > Users > Manage Roles. For more information, see Manage Users.

How to Add a Tag

  1. Navigate to   > Settings > Tag Management.
  2. Choose a tag type - Marketing Activities, Social Content, Library Content, Portal Posts, or LMS.
  3. If you're adding a Library Content tag, you may need to choose the Content Type.
  4. Select the category to which you want to add a tag. 
  5. In the Tags for area, click Add Tag.
  6. Enter the name/value of the new tag.
  7. Click Apply.
  8. [Optional] Drag and drop the tag to the required place in the category order. By default, a new tag is added to the end of the list.

How to Delete a Tag

  1. Navigate to   > Settings > Tag Management.
  2. Choose a tag type - Marketing Activities, Social Content, Library Content, Portal Posts, or LMS.
  3. If you're removing a Library Content tag, choose the Content Type.
  4. Select the category from which you want to delete the tag.
  5. In the Tags for area, click the X next to the tag you want to delete. 
  6. You're asked to confirm that you want to delete the tag. Click Continue to proceed. The tag is deleted and automatically removed from any associated content. 

How to Add a Tag Category

As a supplier, you can add categories for your tags of type Marketing Activities, Social Content, Library Content, and LMS.

  1. Navigate to   > Settings > Tag Management.
  2. Choose a tag type - Marketing Activities, Social Content, Library Content, or LMS.
  3. If you're adding a Library Content tag category, you may need to choose the Content Type.
  4. In the Category area, click Add Category.
  5. Complete this information as required:

    Parameter Description
    Internal Name

    The internal name of the category - shown in in Unifyr One Admin.

    This name can only contain letters, numbers, spaces and underscores.

    Display Name The name of the category shown to partners in the portal.
    Visibility

    Who will see the tags for filtering / categorization / subscription purposes.

    There are two options:

    • Partner Portal (for tags of type Marketing Activities, Social Content, Library Content, LMS) - Click Show to display the category and its tags to partners in the portal - if presented, the partner users can filter their content by the tags, or subscribe to the tags in their Social Settings.

      If disabled, the category is only visible in Unifyr One Admin. Suppliers can use it to tag content, and to pre-filter certain feature pages to only show specified tags, when adding them to the portal site navigation.

    • Supplier Social Media (for tags of type Social Content only) - Click Required to specify that suppliers must always assign a tag from this category to social posts they create.
  6. Click Apply.
  7. The new category is added to the bottom of the list. You can drag and drop it to a new position in the list, if required.

How to Reorder Tags and Tag Categories

As a default, tags and tag categories are displayed in the order they are created. You can manage the order in which they're displayed in Unifyr One Admin, and to your partners in the partner portal.

  1. Navigate to   > Settings > Tag Management.
  2. Choose a tag type - Marketing Activities, Social Content, Library Content, or LMS.
  3. If you're reordering Library Content tag categories, you may need to choose the Content Type.
  4. In the Category area, drag each category to the required place in the list.

  5. In the tag category, drag each tag to the required place in the list.

The order you give here will be reflected in the content filters on the relevant page in the partner portal (shown here in the Courses page).

How to Edit/Delete a Tag Category

As a supplier, you can edit/delete the tag categories you've created yourself (for tags of type Marketing Activities, Social Content, Library Content, and LMS).

  1. Navigate to   > Settings > Tag Management.
  2. Choose a tag type - Marketing Activities, Social Content, Library Content, or LMS.
  3. If you're adding a Library Content tag category, you may need to choose the Content Type.
  4. In the Category area, click on the name of the category you want to update.
  5. Click Edit Category to update any of the category's details. 
  6. Use the Edit Tags option to update the list of tags in the category.
  7. Make the changes to the tag category, as required.
  8. Click Save.
  9. Alternatively, to remove the category and its tags, click Delete. You're asked confirm that you want to delete the category. Click Delete to proceed.

How to Translate a Tag

Unifyr One provides the option to translate your content Tags into multiple languages. For more information, see Translate a Content Tag.

Export a List of Tags

Your administrator can export a list of your content tags from Unifyr One Admin. Exporting the current list of tags allows you to review each one and confirm whether they still meet your needs. You can easily share the information with other teams that work outside the Unifyr One system.

To export a list of content tags:

  1. Navigate to   > Settings > Tag Management.
  2. Click Export All Tags.

  3. A CSV file is downloaded to your downloads area. It provides a list of tag types and categories, with a list of tags for each category. The list includes this information:

    • Section - tag type: Marketing Activities, Social Content, etc
    • Category
    • Internal Name of category
    • Display Name of category
    • Field Type - the control used when assigning tags from the category to content: checkbox, radio button, etc.
    • Field Visibility - whether the tags in the category are visible to partners in the portal
    • Required - whether a tag from the category must be specified for content
    • Content Type - for tag categories of type Library Content
    • Values - the list of tags in each category, in a comma separated list
