Unifyr One Global for Multi-Instance Administration

Overview

Unifyr One Global is available for customers with a Platinum or Diamond subscription. Please submit a request to your Unifyr One team if you are interested in having this enabled on your system.

Multiple brands, regions or business units for an organization can be managed as independent Unifyr One instances, with the configuration and data for each instance held and managed independently. Every aspect of Unifyr One can be segregated, including partner programs, partner data, portals, and CRM integrations.

Corporate/supplier users can access a centralized view, seeing an overview of the whole program, switching between instances, and generating reports on the overall performance of the program.

Unifyr One instances are linked from the home instance, which has an overview of the whole instance landscape. For example, the corporation Acme Corp manages three subsidiaries - Acme Construction, Acme Delivery, and Acme Rockets. Acme Corp will be based on the home instance of Unifyr One and the users in that instance can oversee all the subsidiaries. Acme Construction, Acme Delivery, and Acme Rockets will have their own Unifyr One instance, plus their own portal, and will work as usual.

All the supplier’s Unifyr One Admin users can be given access to all instances, and can switch between them. They can have a different role in each, if required.

  • Users in the home instance - Users logged into the Unifyr One home instance have access to functionality that supports the overseeing of all their subsidiary instances. They can view all instances and provide consolidated reporting across the whole system.

    They can create users for any of the instances, and give any user a role in any instance.

    In Partner Explorer, they have a limited view of partner data in each instance.

  • Users in subsidiary instances - Users carry out tasks as usual. The Admin user in the account can add users to the account.

    All configured/purchased functionality is available for users logged into a Unifyr One subsidiary instance.

FAQs

  • Can my partners switch between portals for different instances with the same login?

    No, this isn’t supported. A partner’s credentials allows access to the portal for their assigned instance. If a partner needs access to multiple portals, they need multiple partner accounts.

  • My partners authenticate and log in via SSO, how is that handled with a multi-instance setup?

    This is a per customer discussion, and will depend on your partner segregation between instances and your current corporate SSO setup/requirements.

  • My Unifyr One implementation is integrated with my CRM - do the instances need different environments?

    Not necessarily. You can build the integrations to only look at relevant data for each instance. Again, this is a per customer discussion.

  • How do I manage Partner Data Restrictions?

    Partner Data Restrictions can only be applied when managing a user within a subsidiary instance. These cannot currently be set at a global level.

Switch between Configured Unifyr One Instances

If a user has been given access to multiple instances in your multi-instance setup, they can switch between them and access the data/tasks they are entitled to see.

In this example, the home/subsidiary instance hierarchy is:

Home instance - Acme Corp

Subsidiary instances - Acme Construction, Acme Delivery, and Acme Rockets

  1. Click  (top right of the Unifyr One window) to open the Advanced Administration Settings.
  2. Go to the drop down list at the bottom of the Settings window. This list is only available if Unifyr One Global is enabled.

    In the example the menu is named Business Unit, but you decide what it is called during implementation. It's usually named to reflect the type of instances you're maintaining (Division, Region, Vertical, Brand, etc.).

    If a user doesn't see the drop down list, and only sees one instance listed, they only have access to that instance. They can't switch into another instance.

  3. Select the required instance from the drop down list.

    You can see the hierarchy of instances in the list.

  4. When you've selected and opened one of the configured instances, note that a label in the top left corner of the Unifyr One window indicates which instance you're logged in to.

Add Users to Multiple Instances

The administrator in the Unifyr One home instance can add users to any instance in a multi-instance setup, and give them a different role in each.

  1. Ensure that you are logged in to the Unifyr One home instance, with an Admin role.
  2. Click   > Settings > Users.
  3. Click Create User.
  4. Create the user following standard Unifyr One process. For more information, see Manage Users
  5. In addition, use the Access field to define the instances that the user can access, and the role they have in each.

    You’ll see an entry for your home instance (Global) and a drop down list of all your subsidiary instances (named Business Units in this example)

    Choose the role that the user will have in each instance.

    If you give the user the Admin role in the home instance, they will automatically have Admin access to all the subsidiary instances as well.

    If you give a user any other role in the home instance, or no access to it (select No Access in the Role field), you can define their access to the subsidiary instances.

    Select the instance from the drop down list, then click Add to add a row for it in the Access field. Choose the Role the user should perform in that instance.

  6. Click Save to save the new user. The user is added to the Users list for the Unifyr One home instance. Each user's entry in the list shows whether they have access to the home and/or subsidiary instances, and the role they have in each.

Add Users to a Single Subsidiary Instance

The Admin user for a subsidiary instance can add users into that instance only. This is handled under the standard Unifyr One Admin User Management process - for more information, see Manage Unifyr One Admin Users.

Once user have been added to a subsidiary instance, they and their role can also be viewed/managed from the home instance.

Partner Data Available to a Home Instance User

Users in the Unifyr One home instance have access to some data in the Partner Explorer.

In these examples, Acme Corp is the home instance, and Acme Construction is one of Acme Corp's subsidiary instances. The Acme Construction instance includes the partner Demolition Experts.

  • They can see the list of partner accounts that are running across all the linked Unifyr One instances.

    The list indicates the Unifyr One subsidiary instance that the partner is configured in.

  • They can view data about each partner account

    A partner account, when viewed from the Unifyr One home instance, shows a subset of the information that is visible in a full Unifyr One Admin instance.

    Note: Partners logged into a Unifyr One Admin subsidiary instance have access to all partner data and functionality.

  • Administrators can switch to view a partner account in its own Unifyr One instance. This will display the full set of information about the partner. Go to the Summary tab and click View in xx.

View Global Partner Performance Dashboards

From the Unifyr One Admin home instance, you can access dashboards that give an overview of the partner landscape across all instances.

  1. Ensure that you are logged in to the Unifyr One home instance. 
  2. Select one of the available dashboards in the top navigation bar - they provide this information as an overview of the instance landscape as a whole:

    • Deal Attribution
    • Partner Performance
    • Partner Coverage
    • Monthly Highlights
