Manage Collateral Programs

Note

Collateral programs currently support Library Content only. Co-brandable PDFs and Co-brandable Videos cannot be added to Collateral Programs at this time.

Collateral programs allow you to provide partners with sets of complementary content that they can use individually or in combination. They also help you manage your digital assets, for example by seasonal theme or product line. 

Collateral programs are most strongly associated with the Enable stage of the partner journey when they need to efficiently communicate your marketing messages to customers. By delivering this content through collateral programs, you can ensure that your partners have everything they need available in one place when the time comes for them to communicate with prospects and customers. Content is standardized across all eligible partners.

One of the most powerful applications of collateral programs is to create sales playbooks that align with the customer journey.  This allows partners to quickly access the different media resources and collateral that you produce and distribute them to prospects at the right time.

Channel Sales Leader, Partner Marketing Director, Partner Channel Sales Director, or Partner Channel Account Manager.

Before You Begin

  • Add Collateral Program pages or widgets to your partner portal site. These options are available:
    • Add the Collateral Feature Bundle to your site navigation. This includes the Browse Collateral, Browse Programs, and My Collateral pages, where your partner can find, download, and use the content they need. For more information, see Feature Bundle: Collateral and Manage Site Configuration and Navigation.
    • Add the Browse Programs feature page to the site navigation as a standalone page, to allow your partners to browse all the programs for which they are eligible.
    • Add the Browse Campaign Dynamic Content widget to a Custom Page in your portal. This widget provides access to a single specified collateral program. For more information, see Add Dynamic Content.
  • Add Collateral to the Collateral Library. Although you will be able to create your collateral programs without pre-existing collateral in the library, we recommend creating individual pieces of collateral and then creating the program or container for the content. For more information, see Add/Manage Content in the Collateral Library.
  • Have content tags ready (of type Library Content):
    • Categorize your Collateral Programs
    • Categorize your Collateral assets for you and your partners, and can be used as the basis for rules that auto-populate a Collateral Program with Collateral assets.

Create a Collateral Program

  1. Navigate to Library Content > Collateral Programs.
  2. Click Create Collateral Program.
  3. Provide the following information:

    Parameter  Type  Description 
    Name Text  Internal identifier for this collateral program.
    Display Name  Text  [Optional] Partner-friendly display name for this collateral program.
    Effective Date Begin   Date Selector [Optional] When this program will be available for partners in the portal.
    Effective Date End   Date Selector [Optional] When access to this program will be revoked.
    Description  HTML  Information describing the purpose and high-level information about this program.
    Thumbnail  File Upload 

    [Optional] The image that identifies this program.  

    Upload an image - maximum file size 2MB. 

    Partner Groups Dropdown list

    [Optional] Specify the partner group(s) that will have access to this program.

    Alternatively, click Advanced to set up a custom partner configuration for this program only.

    Tags Checkbox Choose the tags (of type Library Content) with which to categorize this program.
    Enforce partner filters from individual assets Checkbox

    Enable this option to have the partner filters set for each asset you add to the program dictate what content each partner sees when they access the program.

    Note

    This option needs to be enabled on your system - submit a request to your Unifyr team if you want to take advantage of it.

    If this option is disabled, an individual asset's filters are ignored - all partners that have access to a program can see all the content it contains.

  4. Click Save.

Add Collateral to a Collateral Program

Follow these steps to manually add collateral to a collateral program. You need to have created collateral assets before you can add them to a program.

Note

As a default, partner filters on an individual collateral asset are ignored when the asset is added to a Collateral Program. You can specify that they should apply - submit a request to your Unifyr team to have the Enforce partner filters from individual assets option enabled.

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. Click Add Collateral.
  4. In the Add Collateral screen, select a Content Type. The options available will depend on your organization's implementation. A list of content displays.

  5. Click on each item you'd like to add to the collateral program. The asset is ticked in the list and shown as Selected at the bottom of the list - click the X next to it if you want to remove it again. If an asset was added during a previous edit, it has the label Already Added.
  6. [Optional] Repeat the process as required, to add all the content for the program.
  7. Click Add Selected. The assets are listed in the Associated Collateral area of the program details.
  8. [Optional] Click Publish to make the collateral program available in the portal - ensure that you have the Collateral page or bundle in the portal site navigation.

Add Collateral Auto-Addition Rules to a Collateral Program

A collateral rule automates the addition of content to a collateral program, with a rule based on content types and, optionally, content tags. Whenever an asset of the specified content type, and tags if applicable, is created, it is automatically added to the collateral program.

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. In the Collateral Rules area, click Add Rule.
  4. In Add Collateral Rule, select a Content Type. The options available will depend on your organization's implementation. A list of tags (your tags of type Library Content) displays.
  5. [Optional] Select the content tags you want to watch for, if available.

  6. Click Save to save the search parameters as a new collateral rule. Any items added in the future that meet the same criteria will be added to the program automatically.

Reorder Items in a Collateral Program

You can change the order in which collateral items in a Collateral Program are displayed in the partner portal.

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. Scroll down to Associated Collateral.
  4. Drag and drop collateral items as required, to give the correct order.

Remove Collateral from a Collateral Program

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. Scroll down to Associated Collateral.
  4. Click the X to the right of the collateral item you want to remove from the program.

Publish a Collateral Program

Publishing a collateral program means making it available to partners in the partner portal. 

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. Click Publish. This makes the Collateral Program available for display on the portal. Note: The option isn't available if the program contains no collateral assets.
  4. Eligible partners will be able to view the program from the Browse Collateral Programs page as long as the current date is between the program's Effective Date Begin and Effective Date End dates.

Archive a Collateral Program

You can archive a Collateral Program if it isn't currently published for partners.

Note

It's not possible to delete a Collateral Program.

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. If the program is currently published, click Unpublish
  4. Click Archive
  5. You're asked to confirm that you want to proceed with the action - click Yes to continue. The program moves to the status Archived. You may need to update the Status filter in the Collateral Programs listing to show it, as archived items are excluded as a default.
  6. You can choose Unarchive to revert the action if required.

View Statistics about a Collateral Program

You can get some basic information about the usage of your Collateral Programs.

  1. Navigate to Library Content > Collateral Programs.
  2. Click on the name of the required collateral program to open it for edit.
  3. This information is available:
    • Assets in Program - The number of content items in the program
    • Total Downloads - The total number of downloads of the program
    • Partners with Downloads - The number of partners that have downloaded the program
