Manage Marketing Emails

Note

Marketing Emails are not supported in a Unifyr One Engage subscription.

Overview

Once a campaign is created you can add tactics to it. Tactics are made up of marketing activities of different content types, including emails, website plugins, social media posts, print media, library resources, collateral program documents, workflows, or custom activities. Depending on the context, you may want to add multiple tactics and content types to a campaign. You can also include only a single tactic or content type in your campaign if this is what works best for you. Unifyr One is a flexible platform that meets any channel marketing needs.

Email is the most common marketing activity associated with our campaign tool. You can create your own marketing emails and templates in Unifyr One Admin and provide them to your partners to use on your behalf. You have complete flexibility on the content of the emails - create your own from scratch or use one of the templates provided. You can also save any emails you create as a template, allowing you to build up a library of your most commonly used emails.

You decide how much scope you give to partners to personalize the emails you provide.

This article describe how to create, design and publish emails in Unifyr One, including creating new emails, adding emails to campaigns, editing and archiving existing emails, and performing bulk updates.

Before You Begin

Marketing activities like email work best if you have already created a campaign and a contact list. For more on creating campaigns and adding content to campaigns, see Manage Campaigns.

If you'll be including a landing page with your email, create that first so you can link it from the email. For more information, see Manage Landing Pages.

How to Create Emails

To create a new marketing email:

  1. Navigate to Partner Marketing > Emails.
  2. Click Create Email.

  3. Provide the following information, as required:

    Note: these tasks for the email are carried out during the content edit step for the email:

    • choosing a template to create your email
    • adding the subject line

    See the Edit the Content of an Email section of this article for information.

    Parameter  Type  Description 
    Internal Name   Text The unique identifier for the email in Unifyr One Admin (internal only).
    Display Name  Text The name that will display for your partners in the partner portal.
    Description   Text [Optional]More information about the email, such as a summary of the purpose of the email and any top-level information the partner would need to know to select it.
    Effective Dates Date Selector

    The period for which the email will be available to partners in the partner portal.

    Use the calendar pickers to choose From and To dates.

    A From date is required - if you don’t provide one, the email will never be available to partners.

    The To date is optional - if you leave it blank, the email will never expire.

    Is Promoted? Checkbox

    [Optional] Suppliers can promote activities to increase partner adoption. If the Is Promoted? box is checked, the activity will appear at the top of the Browse Emails page, in a Promoted window, in the partner portal.

    Internal Notes Text

    [Optional] Information about the email that is only visible to you, as a supplier.

    The information is not visible to partners when they view the email in the partner portal.

    Partner Groups Dropdown list

    [Optional] Select the partner groups that will have access to the email.

    If you don't select any Partner Groups here, the email will be available to all.

    Thumbnail File Upload

    [Optional] A small image that will help users visually differentiate between different emails. You can upload an image of your own.

    We recommend 100x110px.

    The maximum file size is 250MB.

    Tags Checkbox

    [Optional] The tags that categorize the email.

    Tags can be used to filter marketing content to your partners - select the applicable tags when creating/editing emails, then your partners can use them as filters when searching for content in the partner portal.

    You manage the available tags in  Settings > Tag Management >  Marketing Activities. For more information, see Tag Management.

  4. Click Save. You can now edit the content of the email, including selecting a template, adding content blocks and images, linking to a landing page, etc. For more information, see the Create/Edit the Content of an Email section of this article.

You must publish the email to make it available to your partners. See the Publish and Unpublish Emails section of this article.

How to Review and Edit Email Details

To review and edit a marketing email:

  1. Navigate to Partner Marketing > Emails.
  2. Click the name of the email you want to edit. The activity details view opens.
  3. In this view, you have access to these areas:
Edit

Update the base properties of the email - name, effective dates, tags, etc.

Add partner filters - For more information about using partner filters, see Add Partner Filters to Marketing Content.

[Optional] Link a landing page to the email.

Edit Content

Edit the content of the email, and provide personalization options for the eligible partners. 

Publish/Unpublish

Publish the email to make it available to your partners.

Unpublish a published email to remove it from your partners' portal. For more on publishing and unpublishing, see the Publish and Unpublish Emails section of this article.

Copy

Create a duplicate of your email. The new copy will appear in your list of emails under the name <Original Email Title> (Copy). For more on creating copies, see the How to Copy Emails section of this article.

Archive / Un-Archive

Temporarily de-activate the email.

Delete

Remove the email from Unifyr One Admin and your partner's portal

Statistics

Review statistics about your email, including number of mailings, number sent, number opened, percent open rate, number of clicks, and number of submissions.

Click the View Statistics Report link to see more detailed metrics.

  1. Click Save after making any changes. You will be returned to the email details view for this email.

Create/Edit the Content of a Marketing Email

To manage the content of a marketing email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose content you want to design, and click on it to open it for edit.
  3. Click Edit Content to open the WYSIWYG Page Editor, where you can manage the content of the email.

  4. [Optional] If you’re editing the email’s content for the first time, choose a template for the email. The Choose Template window contains a library of Beefree templates (Library), a set of Unifyr One's common email templates (Default), and any legacy templates that were created for you (Legacy).

    Note

    If you're working with legacy templates, you may find a different content editing environment from the one described in this article. For information about the legacy editor, see the Partner Marketing - Email (using Legacy Templates) course in CustomerONE.

    If you’ve saved your own templates, they’re available in the Saved tab of the window. For more information, see the Save an Email as a Local Template section of this article.

    If you don’t want to use a template, and want to create the content of the email from scratch, click the X button in the top right of the window. You can also select the Blank template from the Default tab.

  5. If you’re editing existing content, you may have unsaved changes from previous sessions. You’re prompted to save or discard them:

  6. Update the subject line for the email by clicking the pencil icon next to Subject at the top of the page. Replace the default subject Email Subject with the subject line you want to use, then click Save.

    The subject line is the short introductory text of an email that shows up in the recipient's inbox with the sender’s email address.

  7. Add or edit content using the Content, Rows, and Settings menus. We recommend starting with the Settings tab to set your global preferences first. Once you set global settings, you can change the settings of each content block individually as you add them.

    Any field you provide in your email can be updated/personalized by the partner before they send the email to their customers. If you want to prevent a user from updating content you’ve provided, toggle the Unlocked/Locked setting for the block in the Content tab of the editor. For more information, see the Restrict Editing of Content in a Marketing Email / Landing Page / Web Plugin section of this article.

  8. To include a link to a collateral asset, place your cursor in the required place then click More Link to an Asset. You can then choose the asset you want to link to the email.
  9. If you want to link a landing page to your email, and gate the email’s content (for example a collateral asset or an event registration) to users who complete a form, see the Associate a Landing Page with an Email section of this article.
  10. If you want to include a placeholder for a partner logo, see the Add an Autogenerated Partner Logo to a Marketing Email / Landing Page / Web Plugin section of this article.
  11. [Optional] Click Send Test to send a sample of the email to a selected email address. For more information, see the Test the Content of a Marketing Email section of this article. 
  12. Click Save or Save and Close when you’ve completed the email’s content.
  13. If your email is associated with a Unifyr One landing page, you can create/edit/format its content too. Go to Partner Marketing > Landing Pages and open the landing page you want to edit.

Remember to publish the email to make it available to your partners. See the Publish and Unpublish Emails section of this article. You must have configured a thumbnail, a description, and content for an email before you can publish it.

Associate a Default Landing Page with a Marketing Email

You can associate a landing page with your email, so that it is identified as the default one to use with this email. When you add a link to the landing page from the email, for example as the gate for a Download button, this one will be the target of the link. The partner can personalize the landing page for their own use in the partner portal. They can also override your setting and reference their own landing page when personalizing the email, if you allow them to.

Note

Before carrying out this step, ensure you have the landing page ready in Partner Marketing > Landing Pages. For more information, see Manage Landing Pages.

To associate a default landing page to an email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose content you want to design, and click on it to open it for edit.
  3. Click Edit.

  4. Go to the Landing Page field.
  5. Select the landing page you want to link from the list - the list contains all landing pages you have available in the Partner Marketing > Landing Pages page.

  6. Click Save.

Add a Link to a Landing Page in Marketing Email Content

You can include a link to a landing page in the content of a marketing email, for example as a gate action for a button to download content. When the recipient clicks Download in the email, they are taken to the landing page associated with the email and asked to confirm their contact details before being given permission to download the email content.

This action adds a merge field (placeholder) for the landing page. The partner can override your setting and reference their own landing page when personalizing the email, if you allow them.

To link to a landing page from a marketing email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose content you want to design, and click on it to open it for edit.
  3. Click Edit Content.

  4. Highlight the area in the email’s content to which you want to add the link to a landing page, for example a Download Now button.
  5. In the Content panel on the right hand side, find the Special links option. You’ll find the option in two areas, depending on the type of link you’re configuring:

  6. In Special links, choose Misc > Landing Page.

    The placeholder {{landingPage}} is added as the target of the link. This will resolve to the landing page that is associated to the email, when sent to partners. For more information about associating a landing page to an email, see the Associate a Default Landing Page with a Marketing Email section of this article.

  7. Click Save or Save and Close.

Restrict Editing of Content in a Marketing Email / Landing Page / Web Plugin

You can lock areas of a marketing email / landing page / website plugin you provide to your partners, to ensure that they can’t be changed when the partner is editing or personalizing the email for their own use.

When the partner opens the email / landing page / website plugin for edit, they’ll get two flags when they try to edit content that is locked:

  • Padlock icon
  • This content is locked popup message

To lock an area in a marketing email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose content you want to restrict, and click on it to open it for edit.
  3. Click Edit Content.

  4. Highlight the required area in the email’s content. This can be a row or an individual piece of content.
  5. In the panel on the right hand side, go to the Properties area for the item you’ve selected (text, image, row, etc.)
  6. Toggle on the Unlocked option - its label changes to Locked.

  7. Click Save.

Add an Autogenerated Partner Logo to a Marketing Email / Landing Page / Web Plugin

If you want your email / landing page / website plugin to include a partner logo, you can configure a dynamic image, so that it will automatically show the correct logo for each partner that is activating the email.

  1. Navigate to Partner Marketing > Emails.
  2. Find the email that you want to update, and click on it to open it for edit.
  3. Click Edit Content.

  4. From the right-hand Content panel, find the Image object and drag it into the required location in the email body.
  5. Click on the image object and go to the Image Properties panel on the right-hand side.
  6. [Optional, if not already done] In the Url field, add a link to the default image you want to see in this position. This image will be displayed to you when you’re viewing/editing the email in Unifyr One Admin, and to the partner if there is no other image configuration done.

  7. Toggle on the Dynamic image option.
  8. In the Dynamic Url field, add the merge tag {{partnerlogo}}. This will automatically pick up the logo that is configured for each user’s Unifyr One partner account.

  9. Click Save.

The default image is replaced with the partner’s own company logo in these areas, when viewed by the partner in the portal (shown here for an email):

  • on the Preview screens

Change the Template of a Marketing Email

To change the template used as the basis of an email (or add one, if you initially saved the email without one):

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose template you want to change, and click on it to open it for edit.
  3. Click Edit Content.

  4. Click > Change Template.

  5. Choose the new template for the email. The Choose Template window contains a library of BeeFree templates (Library),  and a set of Unifyr One's common email templates (Default).

    If you’ve saved your own templates, they’re available in the Saved tab of the window. For more information, see the Save an Email as a Local Template section of this article.

    Note that selecting a new template will overwrite any existing email content, or customizations you’ve made.

  6. Click Save.

Save a Marketing Email as a Local Template

To save an email as a template for later use:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email you want to save as a template, and click on it to open it for edit.
  3. Click Edit Content.

  4. Click > Save as Template.

  5. In Create Template, enter a name for the template. The email is saved as a template.

When you’ve saved your own templates, they’re available in the Saved tab of the Choose Template window. You can pick one when you’re creating a marketing email - using a template for creating content ensures consistency of brand, style, and voice in your communications.

Test the Content of a Marketing Email

You can send a sample of a marketing email to verify that its content appears as expected.

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose content you want to review, and click on it to open it for edit.
  3. Click Edit Content to open the WYSIWYG Page Editor, where you can manage the content of the email.
  4. Click Send Test.

  5. In Send Test Email, enter this information:

    • Email Address - the email address to which to send the test
    • Personalization Partner - the partner account whose data will populate merge tags in the email content

  6. Click Send. The email is sent to the nominated email address, with the merge tags populated as if the email was being viewed by the specified partner.

    Note

    Merge tags representing the end recipient of the email when sent by the partner (i.e. those prefixed with Contact) are not populated in the test.

How to Publish and Unpublish Emails

You must publish an email to make it available to your partners.

To publish an email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email whose template you want to change, and click on it to open it for edit.
  3. Click Publish.

    Note: You must have configured a thumbnail image, a description and content for the email before you can publish it. If these things aren’t in place, the Publish button is disabled and you’ll see a message if you try to click it.

You can remove the email from your partners’ portals by unpublishing it.

To unpublish an email:

  1. Navigate to Partner Marketing > Emails.
  2. If necessary, use the Publication Status filter to find your published emails.
  3. Find the email you want to unpublish, and click on it to open it for edit.
  4. Click Unpublish.

Add Marketing Emails to the Partner Portal

You have two options for making marketing emails available in the partner portal:

  • Providing them as standalone tactics

    Add the Emails feature page to your site navigation.

  • Bundling them into campaigns

How to Promote Emails

You can promote an email to increase partner adoption. Promoting the email will pin it to the top of the Emails page so that it is one of the first emails a partner sees when browsing that area in the partner portal.

  1. Navigate to Partner Marketing > Emails.
  2. Find the email you want to promote, and click on it to open it for edit.
  3. Click Edit.

  4. Check the Is Promoted? checkbox.
  5. Add the promotion Start and End dates.
  6. Click Save.

The email will display in the Promoted window in the partner portal, between the dates you specified.

How to Add Emails to Campaigns

To add an email to a campaign, follow these steps:

  1. Navigate to Partner Marketing > Campaigns.
  2. Click the name of the campaign to which you want to add emails. The activity details view opens.
  3. Click Add Content.
  4. Use the following features to find your email:
    • Under Asset Type, filter to Emails.
    • Filter content tags using the drop-downs on the left side of the window.
    • Search for your email using keywords.
  5. Click Add next to the name of the email you want to add.
  6. Click Close once you have added all the content you want. The screen refreshes to the campaign details view.

The email appears in the Campaign Assets list on the campaign details view for this campaign.

How to Copy Emails

Do not create copies of copies. Always copy from an original email.

To create a copy of an email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email you want to copy, and click on it to open it for edit.
  3. Click ... > Copy.

    The new email is created, with the name <Original Email Title> (Copy).

  4. Rename the email as required, by adding the new name into the Internal Name and Display Name fields.
  5. Update the other fields as required.
  6. Click Save.

How to Archive / Unarchive Emails

Archiving emails removes them from your emails list, but saves them in your account.

To remove an email permanently, delete it. For more information, see the Delete a Marketing Email section of this article.

  1. Navigate to Partner Marketing > Emails.
  2. Find the email you want to archive, and click on it to open it for edit.
  3. Click ... > Archive.

    The email is archived, but it remains in your account until you delete it.

Unarchiving emails make them active again and enables publishing.

To unarchive emails:

  1. Navigate to Partner Marketing > Emails.
  2. Find the archived email you want to unarchive. It may be useful to use the Publication Status filter in the list, to display all archived emails.
  3. Click the name of the email, to open it for edit.
  4. Click ... > Un-Archive.

Delete a Marketing Email

Deleting an email removes it permanently from your account.

To delete an email:

  1. Navigate to Partner Marketing > Emails.
  2. Find the email you want to delete, and click on it to open it for edit
  3. Click > Delete.

  4. You're asked to confirm that you want to delete the email. Click Delete to continue.

Export a List of Marketing Emails

You can export a list of selected marketing emails from Unifyr One Admin. This allows you to view the emails you have available for your partners, how they’re tagged, which partners have access to them, and when they’re available in the portal.

  1. Navigate to Partner Marketing > Emails.
  2. Select the emails you want to export by checking the box next to each one. Alternatively, check the box at the top of the leftmost column to select all emails.
  3. Click Export and choose one of these options:
    • Download CSV - A CSV file is downloaded to your desktop.
    • Email - A CSV file is generated and sent to your email address.

The file contains a row for each email you selected, and columns for each piece of information about each one, including the tags assigned.

Bulk Update Emails

Unifyr One's Bulk Update feature allows you to add/remove tags, configure partner filters, and set effective dates and status for multiple marketing emails in a single action.

To access the Bulk Update option for emails:

  1. Navigate to Partner Marketing > Emails.
  2. Check the checkbox to the left of each email you want to update. Alternatively, click the checkbox at the top of the leftmost column to select all landing pages.
  3. Click Bulk Update.
