About Partner Invitations

Overview

The first priority for any channel program is to enrol partners. The entire purpose of a channel program is to recruit partners who will sell on your behalf.  The strategy and objectives of your recruitment plan will have been described as part of the Channel Success Plan. 

Unifyr One supports two approaches to partner recruitment; inviting prospective partners to join and allowing prospective partners to register from your portal.  This article describes the invitation process. 

Inviting partners involves sending a pre-configured email from Unifyr One Admin to prospective partners. The email includes a link to the registration page set up in your partner portal - the page includes a registration form for completion. When the form is submitted, the new partner account will either be pre-approved or be set up as a pending partner account requiring your approval to complete the registration. This depends on the setup agreed with your Unifyr One team during system implementation. For more information, see About Pending Partners.

Unifyr One provides a basic registration form that captures the information that is required as a minimum for the effective management of your partner database. This basic information consists of the company name, individual user's email address, and first and last name. You can request additional information by adding your Custom Fields to the form.

Before you Begin

Before implementing your partner program, you should consider the following questions:

  • Decide if prospective partner accounts can be auto-approved (called Auto Onboarding in Unifyr One) or you prefer to manually review/approve each request. For more information about the options available, see About Pending Partners.
  • If manual approval is configured, decide who should be notified of new pending partner requests.

Partner Invitations View

To see the list of invited partners, navigate to Partner Management > Communications > Invitations. This takes you to the Invited tab of the Partner Explorer. You can use these options to organize the data in the Invited view:

Once an invitation has been created, the partner shows one of the statuses in the Invited list:  

  • Sent - The invitation has been sent to the prospective partner.  The partner will remain in this state until they take some action on the invitation. You can resend the invitation from here.
  • Partner Declined - The partner has rejected the invitation. 
Clear All   The Clear All option brings all the partners back into view and you can reset the filters.
Partner Name Sortable List The partner name - typically the company name.
Contact Name Sortable List  The name of the user associated with the partner account. 
Contact Email Sortable List The email address of the user associated with the partner account.
Status Sortable List The status of the partner's registration (see above).
Created Sortable List The date on which the invitation was created.

Partner Invitations Details View

You can click on a specific partner name in the Invited view to see additional details about a specific partner invitation.

Parameter Description
Partner Name

The display name for the partner account. Typically, this is the partner’s company name.

The name can be edited.

Contact First Name

The first name of the user associated with the partner account.

The name can be edited.

Contact Last Name

The last name of the user associated with the partner account.

The name can be edited.

Contact Email

The email address of the user associated with the partner account.

This field cannot be edited. To use a different email address for this partner's invitation, delete the existing invitation and create a new one.

Read-only information

This information is available on the right hand side of the detail view:

  • Shareable Link - a link to the invitation email, which the Unifyr One Admin user can copy and share with the partner. 
  • Last Sent - the date and time on which the invitation was last sent to the user.
  • Created - the date and time on which the invitation was created.
  • Updated - the date and time on which the invitation was updated.

Invite New Partners 

Inviting prospective partners to join your channel program gives you the control to target the best candidates to meet your objectives. This simple process allows you to send an invitation email to potential partners that they can then accept or reject. Once the invitation is activated, partners can get right to work, without further intervention. 

  1. Navigate to Partner Management > Communications Invitations. This takes you to the Invited tab of the Partner Explorer.
  2. [Optional] Check if the partner has already been invited. You can use search and filter to look for a partner in the list:
    • Enter a text string in the Search field to retrieve partner records.
    • Click on the Status filter for Sent or Partner Declined to find existing invitations.
  3. Click Invite Partners > Create Invitation.
  4. Enter the partner data: Partner Name, Contact First Name, Contact Last Name, and Contact Email.  If you have added custom fields, more information may be required. 

    As the first user in the partner account, the user will be given your configured default role in the account when the account is created. For information about configuring the default user role, see Setting a Default Role for New Partner Users.

  5. Click Send. An invitation email is sent to the contact with a link to your partner invitation form.
    • You get an on-screen notification that the invitation email was sent.
    • Once the partner has accepted the invitation, it no longer displays in the Invited view. 
    • Depending on your Auto-Onboarding settings, the partner will either become an active partner or be added to the Pending Partners list for approval, when they accept your invitation. For more information about auto-onboarding options, see About Pending Partners.

This is an example of the invitation email sent to potential partners. Partners can click Submit Your Application to access the application form and accept your invitation to join you (or decline it). Invitations may contain custom fields and can be branded by your Unifyr One team.

Send Invitations in Bulk

If you have a list of prospective partners you'd like to invite to join your partner program, you can upload a CSV file of the list to Unifyr One. Once the list is uploaded, Unifyr One will send an invitation to each potential partner using the contact details provided in the file.

  1. Navigate to Partner Management > Communications Invitations. This takes you to the Invited tab of the Partner Explorer.
  2. Click Invite Partners > Import Invitations.
  3. Prepare the spreadsheet (CSV UTF-8 format) that contains the partner account information you want to upload, if it's not already available.

    The CSV file should contain the columns listed in the table below. You can click Download a sample file to get a sample spreadsheet. 

    Label Description 
    partnerName The display name for the partner account. Typically, this is the partner’s company name.
    contactFirstName The first name of the user associated with the partner account. This user is given your configured default role in the account when the account is created. For information about configuring the default user role, see Setting a Default Role for New Partner Users.
    contactLastName The last name of the user associated with the partner account. 
    contactEmail

    The email address of the user associated with the partner account.

    A Welcome email is sent to the email address given here, to prompt the user to login and set up the partner portal account.

  4. Click Choose File and select your CSV file.
  5. Unifyr One indicates if there is any missing or invalid data, or conflicts/duplicates, in your file. Correct the errors in the file and try again to upload. You can use the Download these entries link to get a file with the incorrect rows.

  6. Click Import to proceed with importing the valid rows. 

    To end the action, click Cancel.

  7. Unifyr One gives a notification to confirm that the action has started. You receive an email with the results of the import action when it's completed. The email details the rows that have been processed, and how many records were created. An attachment lists the update requests that failed, and gives a reason.
  8. Successfully imported contacts receive an email inviting them to register for your partner program/portal. You can check the status of each application under Partner Management > Partner Explorer > Invited.

This is an example of the invitation email. The partner clicks Submit Your Application to proceed. Invitations can contain custom data fields and can be branded by your Unifyr One team.

Partner Accepts the Invitation

Partners who click Submit Your Application in the invitation email can complete the partner registration form to join the supplier's partner program.

Once the partner has accepted the invitation, they receive on-screen confirmation that the request has been submitted.

Approve Pending Partners

While a partner's request awaits your approval, their name appears on the Partner Management > Pending Partners list with the status of Pending.

You can approve, reject or edit the request. For more information, see the articles in Pending Partners.

When you approve a partner account, the partner receives an email to set up their account. 

Resend a Partner Invitation

If you want to remind a partner to review your invitation to join your partner program, you can resend the original invitation.

  1. Navigate to Partner Management > Communications Invitations. This takes you to the Invited tab of the Partner Explorer.
  2. Find the partner whose invitation you want to resend.
  3. Click the Resend Invitation link in the Status column. Alternatively, use the Resend button if you're editing the invitation.

Delete a Partner Invitation

You can delete a partner invitation if the partner hasn't yet engaged with it.

  1. Navigate to Partner Management > Communications Invitations. This takes you to the Invited tab of the Partner Explorer.
  2. Find the partner whose invitation you want to delete.
  3. Click on the partner name to open the invitation for edit. Click Delete Invitation. The invitation is removed from the list. If the partner subsequently tries to access it, they see an invalid link error message.
