Manage Partner Users

Overview

You can manage all the users from all your partners from the Partner Management > User Explorer view. In this view, you can filter to view partner users by certain criteria, export partner and user lists, manage partner users and partner user roles, and perform bulk operations.

You can manage an individual partner user by clicking on their name in the list.

Note

This view gives you a global view of all users from all your partners, and allows you to perform cross-partner updates for users in a single action. You can still view and manage users within their individual partner account - go to Partner Management > Partner Explorer > Partner Accounts, choose a partner and go to the Users tab.

In the Pending tab, you can see a list of users whose registration is awaiting approval.

View and Customize the Users Lists

To view your lists of partner users, navigate to Partner Management > User Explorer.

In the Pending tab, you can see a list of users whose registration is awaiting approval.

You can view an individual user’s details by clicking on the user name. This will take you to the Users tab of the partner account in Partner Explorer. For more information, see Managing Individual Partner User Details and MDF Access.

You can use filter options to search and organize the data in the lists.

Filter Description 
Partner Status

The status of the parent partner’s Unifyr One subscription: 

  • Active Unifyr One subscriptions are currently in use for live deployments of the provided content.
  • Inactive Unifyr One subscriptions were once active but have since been deactivated. Inactive users can't log in to the Unifyr One portal but their record is maintained for reference.
  • Test Unifyr One subscriptions are issued for demo purposes only
Partner The partner account to which users belong.
Partner Groups The Partner Group(s) to which users belong.
Roles The role(s) given to users to control their access to the portal and its content.
Status

The status of the user account:

  • Active - live
  • Inactive - once live, have been deactivated but still exist. 
Created

The date on which the partner user account was created.

Enter a start and end date to gather data for ranges of time such as monthly, quarterly, and annually.

More

Custom Partner User Fields that are unique to each supplier/partner.

Toggle a filter for each custom field on or off by checking the corresponding box. 

Clear All Reset all filters and display all partner user accounts.

You can also customize the columns on the list to view the most relevant information at a glance.

  1. In the Users list, click the Column Configuration icon.

  2. In Column Configuration, drag-and-drop columns from Available Columns to the Selected Columns area to make them visible in the list.

    The columns available to you includes default Partner User fields (for example Name, Email, Status, and Created date) and any custom Partner User fields you have built in your account. For information about custom fields, see Custom Fields.

    Alternatively, hide a column from the list by clicking the X next it in the Selected Columns area.

  3. Click Save.
  4. If you are an Administrator, you can check the Save As Default option to save this configuration for all users in your Unifyr One Admin account. A user can override your definition by setting up their own column configuration.

You can also view an individual user’s details by clicking on the user name. This will take you to the Users tab of the partner account in Partner Explorer. For more information, see Manage Individual Partner Details.

Create a Partner User in User Explorer

Note

You can also create users directly in their individual partner account - go to Partner ManagementPartner Explorer > Partner Accounts, choose a partner and go to the Users tab.

To create a partner user from the User Explorer, follow these steps:

  1. Navigate to Partner Management > User Explorer.
  2. Click Create User.
  3. Complete this information:

    Parameter Type  Description
    Partner Dropdown The partner account to which the user should be added.
    Email Text The email address of the user.
    First Name Text The first name of the user.
    Last Name Text The last/family name of the user.
    Mobile Phone Text [Optional] The user’s mobile/cell phone number.
    Office Phone Text [Optional] The user’s office phone number.
    User Roles Multiselect

    The role or roles assigned to the user to define their access to the portal and its content.

    Choose from:

    • Administrator
    • Marketing
    • Sales
    • Custom partner user role(s), if implemented
  4. Click Create to create the user, or Create and View to create the user and open their details for edit. The user account is created with an Active status.

    You will see an error message if the user already exists. 

    To terminate the action, click Cancel.

  5. The user shows in the User Explorer list, and under the Users tab of the partner account. A welcome email may be sent to the user (depending on your system settings), prompting them to log in to the partner portal and set their password.

Import Partner Users in Bulk

You can import a CSV file with a list of users, across one, any, or all of your partners, to create multiple partner user accounts in a single action.

Note

There’s no limit to the number of user accounts you can import with this action. 

To import users:

  1. Navigate to Partner Management > User Explorer.
  2. Click > Import Users.
  3. Prepare the spreadsheet (CSV format) that contains the user account information you want to upload, if it's not already available.

    The CSV file should contain the required columns listed in the table below, as a minimum. You can click Download a sample file to get a sample spreadsheet. Remove any sample values from the sample spreadsheet before using.

    Label Description 
    Partner Id

    The Unifyr One ID of the partner account to which the user will be added.

    Ensure that you provide the correct ID. The Create User action will fail if you provide an invalid one. If you provide the wrong ID, the user will be created in the wrong partner account. Contact Unifyr One Support if you need assistance with retrieving Partner IDs.

    You can download a list of Partners from the User Explorer - the list will indicate the Partner IDs you have in use. Use the ... > Export Partners option. For more information, see the Export Partner and User Data from User Explorer section of this article.

    First Name The first name of the user.
    Last Name The last name of the user.
    Email

    The email address of the user.

    A Welcome email is sent to the email address given here, to prompt the user to login and set up their password for the partner portal.

    You can also include these optional fields of user information. Separate multiple values for a single field with commas:

    • Roles
    • Mobile Phone
    • Office Phone
    • SSO User Id
    • Any of your custom Partner User fields. For more information about custom fields, see Custom Fields.

    Notes about user data:

    • Each user record must have a Partner ID that matches one that already exists in Unifyr One
    • A user record can't have an email address or SSO User ID that already exists in Unifyr One
    • Email addresses must be valid
  4. Click Choose File and select your CSV file.
  5. Unifyr One indicates if there is any missing or invalid data, or conflicts/duplicates, in your file. Correct the errors in the file and try again to upload. You can use the Download these entries link to get a file with just the incorrect rows.

  6. Click Import to proceed with importing the valid rows.

    To end the action, click Cancel.

  7. Unifyr One gives a notification that the upload is processing. You will receive an email when it’s complete, with the results of the import process - how many entries were processed, how many entries failed with errors, and the reason they failed.

    Each new user shows in the User Explorer list, and under the Users tab of their partner account. They have the status Active. A welcome email is sent to the user prompting them to log in and set their password for the partner portal.

Approve / Reject a New Partner User

Note

The approve/reject option for suppliers needs to be enabled on your system - submit a request to your Unifyr One team if you want to use it.

If the option isn't enabled, new partner users can only be approved by the partner administrator in the partner portal.

To approve/reject new partner users:

  1. Navigate to Partner Management > User Explorer.
  2. Go to the Pending tab. This displays a list of all users who've self-registered on your portal.
  3. Check the selection box next to each item you want to delete. Alternatively, check the box in the header row to select all items in the current page.
  4. Click Approve Users or Reject Users as appropriate.

Deactivate / Reactivate / Delete a Partner User

You can deactivate a partner user account, so that it is no longer live. Deactivate User performs a “soft delete” on the user, but doesn’t remove their account from the application. The user can’t log in to the partner portal or receive emails, etc. but their record remains in the partner account with a status of Inactive.

Inactive user accounts can be reactivated later, or deleted permanently. You can’t delete an active user account.

Note

The option to deactivate users may not be available for you, for example if your user management system is outside Unifyr One.

To deactivate an active partner user account:

  1. Navigate to Partner Management > User Explorer.

    Note

    You can also deactivate/reactivate users directly in their individual partner account - go to Partner Management > Partner Explorer > Partner Accounts, choose a partner and go to the Users tab.

  2. Find the active user whose account you want to deactivate, and click on it to open it for edit.
  3. In the user profile window, click ... > Deactivate User.

    The user’s account is updated to show a status of Inactive, in both the Users list and the Users tab of the partner’s account. You can delete the account permanently now, if required.

 

To activate/reactivate an inactive partner user account:

  1. Navigate to Partner Management > User Explorer.
  2. Find the inactive user whose account you want to reactivate, and click on it to open it for edit.
  3. In the user profile window, click Reactivate User.

    The user’s account is updated to show a status of Active, in both the Users list and the Users tab of the partner’s account.

A welcome email is not automatically sent to activated users. You have these options if you want to let a user know that you've activated/reactivated their account - go to the user's details:

  • For users who have previously logged in to Unifyr One: ... > Send Password Reset Email
  • For users who have never logged in to Unifyr One: ... > Send Welcome Email

 

To permanently delete an inactive partner user account:

  1. Navigate to Partner Management > User Explorer.
  2. Find the inactive user whose account you want to delete, and click on it to open it for edit.
  3. In the user profile window, click Delete User.

  4. You’re asked to confirm that you want to delete the user. Click Delete to continue.

    Note: A deleted user account can’t be retrieved or reactivated at a later date. Leave the status at Inactive if you think the account might be used again.

    The user account is permanently removed from its parent partner account.

Deactivate / Reactivate Partner Users in Bulk

You can deactivate or reactivate multiple partner users simultaneously, across multiple partners if required.

To access the options, you must have selected at least one item in the Users list. If no users are selected, the options are grayed out.

Note

You can deactivate/activate a maximum of 1000 accounts with these actions. To deactivate/activate more than 1000, repeat the action as required.

To deactivate multiple active user accounts:

  1. Navigate to Partner Management > User Explorer.
  2. Click the checkbox next to the active partner user(s) from the list whose accounts you want to deactivate.

    Alternatively, click the checkbox at the top of the leftmost column to select all accounts in the list.

  3. Click ... > Deactivate Users.
  4. You are asked to confirm that you want to deactivate the selected partner users. Type DEACTIVATE in the box to proceed, then click Type DEACTIVATE to confirm.

  5. Unifyr One confirms when the action is complete.

 

To activate/reactivate multiple inactive user accounts:

  1. Navigate to Partner Management > User Explorer.
  2. Click the checkbox next to the inactive partner user(s) from the list whose accounts you want to activate.

    Alternatively, click the checkbox at the top of the leftmost column to select all accounts in the list.

    Tip: Use the Status filter for the list to find your inactive user accounts.

  3. Click ... > Activate Users.
  4. You are asked to confirm that you want to activate the selected partner users. Click Continue to proceed.
  5. Unifyr One confirms when the action is complete.

A welcome email is not automatically sent to activated users. You have these options if you want to let a user know that you've activated/reactivated their account - go to the user's details:

  • For users who have previously logged in to Unifyr One: Send Password Reset Email
  • For users who have never logged in to Unifyr One: Send Welcome Email

Add a Data Field Value to Multiple Partner Users

Bulk Operations provide a way for Unifyr One Administrators to take action on a large number of partner users in a few clicks rather than making a change to multiple individual users separately.

Add Field Value(s) allows you to add data values to multiple partner users simultaneously, across multiple partners if required. The values come from the custom Partner User fields in your system that have multiple possible values (fields of type Select, Radio, Multiselect, or Checkbox). For more information, see Custom Fields.

To access the option, you must have selected at least one item in the Users list. If no users are selected, the option is grayed out.

Note

You can update a maximum of 1000 accounts with this action. To update more than 1000, repeat the action as required.

  1. Navigate to Partner Management > User Explorer.
  2. Click the checkbox next to the partner user(s) from the list whose details you want to modify.

    Alternatively, click the checkbox at the top of the leftmost column to select all accounts in the list.

  3. Click ... > Add Field Value(s).
  4. In Add field value to users, check the checkbox next to the values you want to apply to all the selected partner users.

    Note: the window doesn't indicate which values are already assigned to each user, as they may be different.

  5. Click Apply. You are asked to confirm that you want to update the selected partner users.
  6. Click Continue to proceed with the update, or Cancel to exit.
  7. Unifyr One presents messages confirming when it has started processing your request, and when it has completed the field updates.

Remove a Data Field from Multiple Partner Users

Remove Field Value(s) allows you to remove data values from multiple partner users simultaneously, across multiple partners if required. The values come from the custom Partner User fields in your system that have multiple possible values (fields of type Select, Radio, Multiselect, or Checkbox). For more information, see Custom Fields.

To access the option, you must have selected at least one item in the Users list. If no users are selected, the option is grayed out.

Note

You can update a maximum of 1000 accounts with this action. To update more than 1000, repeat the action as required.

  1. Navigate to Partner Management > User Explorer.
  2. Click the checkbox next to the partner user(s) from the list whose details you want to modify.

    Alternatively, click the checkbox at the top of the leftmost column to select all accounts in the list.

  3. Click ... > Remove Field Value(s).
  4. In Remove field value from users, check the checkbox next to the values you want to remove from all the selected partner users.

    Note: the window doesn't indicate which values are already assigned to each user, as they may be different.

  5. Click Apply. You are asked to confirm that you want to update the selected partner users.
  6. Click Continue to proceed with the update, or Cancel to exit.
  7. Unifyr One presents messages confirming when it has started processing your request, and when it has completed the field updates.

Assign / Unassign Partner User Roles

You can use the User Explorer to assign and unassign roles to users from any of your partners, either singly or in bulk.

Note

You can assign roles to a maximum of 1000 accounts with these actions. To update more than 1000, repeat the action as required.

The list of available roles is managed in Partner Management > User Explorer under the Manage Roles button. For more information, see Partner User Roles.

To assign a role or roles to partner users:

  1. Navigate to Partner Management > User Explorer.
  2. Click the checkbox next to the partner user(s) from the list whose details you want to modify.

    Alternatively, click the checkbox at the top of the leftmost column to select all accounts in the list.

  3. Click Update User Roles > Assign.
  4. In Assign Partner User Roles, choose the role or roles you want to assign to all the partners you selected, by checking the box next to each one. Note: the window doesn’t indicate which roles each user already has, as these may be different.
  5. Click Apply. The selected roles are assigned to each of the users.

 

To unassign a role or roles from partner users:

  1. Navigate to Partner Management > User Explorer.
  2. Click the checkbox next to the partner user(s) from the list whose details you want to modify.

    Alternatively, click the checkbox at the top of the leftmost column to select all accounts in the list.

  3. Click Update User Roles > Unassign.
  4. In Unassign Partner User Roles, choose the role or roles you want to unassign from all the partners you selected, by checking the box next to each one. Note: the window doesn’t indicate which roles each user already has, as these may be different.
  5. Click Apply. The selected roles are removed from each user's profile.

Export Partner and User Data from User Explorer

You can export a list of partner or user data to a CSV file. The file will be emailed to you.

To export data, follow these steps:

  1. Navigate to Partner Management > User Explorer.
  2. Click ... and choose either Export Partners or Export Users. Unifyr One generates a CSV file of the information and sends it to your email inbox.
    • The exported partners file contains these data points - Zift Partner ID, Partner Name, Status, Create Date, Expiration, Last Login, Total Logins, Auto-Registration Rules, Default Lead Owners, Available Funds (can be included upon request), Sales Reps Count, Users Count, SSO Company ID, Partner Source, Terms Accepted By, and Terms Acceptance Date. The file also includes columns for each of the custom Partner fields you have configured in your system.
    • The exported users file contains these data points - Zift Partner ID, Partner Name, Email, First Name, Last Name, SSO User Id, CRM User Id, Office Phone, Mobile Phone, and the date Terms and Conditions were accepted. The file also includes columns for each of the customer Partner User fields you have configured in your system.
  3. An on-screen message confirms that the export has started.
