Partner User Roles

Overview

Permission Required

Only supplier users with the role Administrator can edit Partner User Roles.

Unifyr One offers flexibility in controlling access to content. In your partner portal, your partners see information specific to their roles or their segment/tier within your program. You determine the roles and the access.

To manage access to content on your partner portal, Unifyr One has three default user roles: Administrator, Marketing, and Sales. You can define your own custom partner user roles and use them in the rules for partner filters and partner groups.

You can choose who is allowed to assign partner user roles - only the supplier or the partners' Admin user(s) too. Additionally, you can set a default role that new users will automatically have assigned to them.

You manage your available partner user roles in Partner Management > User Explorer > Manage Roles.

Unifyr One allows you to define the level of visibility that each Partner User Role has of distributed and registered leads.

  • All Leads - Users with a role with this value set see all leads regardless of who is assigned to the lead
  • Assigned Leads - Users with a role with this value set can only see leads that are assigned to them, or leads that are unassigned

    The setting applies to leads distributed to the user by the supplier, or leads registered in the portal by the partner admin and assigned to a user.

Unifyr One provides the option to translate default and custom Partner User Roles into multiple languages. For more information, see Translate a Partner User Role.

Before You Begin

You should have a clear understanding of what functions the user will perform and grant the minimum necessary rights to perform the required tasks.

Notes

  • If you are using SSO, you can assign roles to new users by inputting the Name, Email Address, and list of Unifyr One Partner User Roles that you’d like the user to have. Upon first-time login to Unifyr One, the partner user will be assigned the designated roles if they match in Unifyr One. If the Partner User Roles provided do not match, the user will be assigned the Default Roles you have set in Unifyr One.
  • If you have a Salesforce integration, you can assign Partner User Roles to new and existing users. You can set up a Role in Salesforce with a custom field in the format ‘z123user.role’. This will then match up to the existing Partner User Role in Unifyr One. Roles that exist in Salesforce but do not exist in Unifyr One will not be assigned to users.
  • If you have questions about your specific set-up, you can submit a request to your Unifyr One team.

Role Types & Functions

Most Unifyr One partner portal permissions and access are controlled by your Site Configuration. Partner User Roles are particularly helpful when creating Partner Group rules so that you can drill down access to certain portal views, pages, and content by users.

Additionally, some partner portal capabilities are controlled by the partner’s user role. More than one role can be assigned to each user. If a user is assigned more than one role, the role with the most permissions will take precedence.

The table below details the default partner user roles in Unifyr One Admin and what rights/restrictions they have.

Type Access Level
Administrator

The Administrator role has the highest level of access to the partner portal. By default, they have access to all areas of the partner portal that are available to their partner account based on your Site Configuration.

Notes:

  • The first user added to a partner account is automatically assigned this role.
  • This is the only role that has access to settings for the partner account and all users, including CRM integration settings.
  • This role may be granted permission to assign roles to new users in their partner account.

Unifyr One team members, suppliers with Administrative access, and Admin partner users can change partner users’ Administrative access within a partner account.

Marketing

By default, partners with the Marketing role have access to all areas of the partner portal that are available to their partner account based on your Site Configuration.

Notes:

  • This role does not have access to settings for the partner account. They can manage settings for their own account from My Settings - their personal profile, their personal social media connections, their personal event integrations and their notification settings.
  • This role has the ability to Add Contacts.
  • This role can see all Leads within the partner account, including leads that are assigned to other users. This can be changed with the Leads Visibility by Role setting - see the Overview section of this article.
Sales 

By default, partners with the Sales role have access to all areas of the partner portal that are available to their partner account based on your Site Configuration.

Notes:

  • This role does not have access to settings for the partner account. They can manage settings for their own account from My Settings - their personal profile, their personal social media connections, their personal event integrations and their notification settings.
  • This role has the ability to Add Contacts.
  • This role has no restrictions for working with Deals, Campaigns or Contact Lists. 
  • A user with the Sales role can't use a Company social account - they must  connect their Personal account.
  • This role can only see Leads related to Marketing Activities and Leads that have been distributed to their partner user account. Partner users with this role cannot see Registered Leads. This can be changed with the Leads Visibility by Role setting - see the Overview section of this article.
  • The Sales role is not to be confused with the Sales Representative (Sales Rep) role.

    Sales Reps are partner users that are restricted to seeing only their assigned lead profiles and event timelines. Users with this role do not log in to the Partner Portal, but rather, manage leads assigned to them via emails from the platform. The list of Sales Reps for a partner organization is managed by the Partner Administrator in the partner portal, via Settings.

Custom

Custom Partner User Roles are roles you can create yourself and assign to partners. By default, partners that are assigned a Custom Partner User Role have access to all areas of the partner portal that are available to their partner account based on your Site Configuration.

Notes:

  • This role type does not have any default application permissions set, therefore, we recommend that you assign users with a Custom role to also have a Standard user role (Admin/Marketing/Sales) so that the correct permissions are applied.   
  • This role does not have access to settings for the partner account.
  • This role has the ability to Add Contacts.
  • This role can see all Leads within the partner account, including leads that are assigned to other users. This can be changed with the Leads Visibility by Role setting - see the Overview section of this article.
  • Custom Partner User Roles offer you more flexibility when creating Partner Groups and filtering Custom Views in the partner portal.

    For example, you can create a Custom Partner User Role called ‘Basic’ and assign certain partner users to that role. Then, you can create a Partner Group that includes all of the partners that have a ‘Basic’ Custom Partner User Role. Once that Partner Group is created, you can create a Custom View filtered to that Partner Group to restrict access to certain content.

Create a Custom Partner User Role

To add a custom partner user role, follow these steps:

  1. Navigate to Partner Management > User Explorer.
  2. Click Manage Roles. The list of available roles opens.
  3. Click Create Role. 
  4. Provide this information, as required:

    Label  Description 
    Name Name of the partner user role.
    Description

    [Optional] More information about the role, for example to describe its purpose.

    The information will be displayed in Manage Users on the partner portal.

    Partner Assignable

    [Optional] Who is permitted to assign this role to partner users:

    • If this option is disabled, the role can only be given to users by the supplier’s Admin user.
    • If this option is enabled, the partner’s Admin user can set the role for users as well.
    Default Role [Optional] Select this option to have this role automatically applied when creating new users.
    Lead Visibility

    The leads to which users with this role have access - choose from the dropdown menu:

    • All Leads - Users with this role see all leads, regardless of who is assigned to the lead
    • Assigned Leads (default) - Users with this role can only see leads that are assigned to them, or leads that are unassigned

    The setting applies to leads distributed to the user by the supplier, or leads registered in the portal by the partner admin and assigned to a user.

  5. Click Save to create the new role. To terminate the action, click the X on the right of the row. It appears when you hover over the row.

Set a Default Role for New Partner Users

You can choose to have partner user roles automatically applied when you're creating new users.

  1. Navigate to Partner Management > User Explorer.
  2. Click Manage Roles. The list of available roles opens.
  3. Find the role or roles you want to set as the default role and check the Default Role option next to it.
  4. Click Save.

Edit a Partner User Role

You can edit the description of a partner user role, its assignment permissions, and whether it is classed as a default role when creating new users.

  1. Navigate to Partner Management > User Explorer.
  2. Click Manage Roles. The list of available roles opens.
  3. Click the role you want to update, to expose its properties for edit.
  4. Make changes as required.
  5. Click Save.

Reordering Roles in the Partner User Roles List

You can change the display order of the roles in the Partner User Roles page. The order you define here is reflected in the Create User window in Unifyr One Admin and in the New User window in the partner portal - you can prioritize the most common roles to ensure they appear at the top of the list.

  1. Navigate to Partner Management > User Explorer.
  2. Click Manage Roles. The list of available roles opens.
  3. Click icon_drag.png and drag the roles into the required order.
  4. Click Save.

Deleting Partner User Roles

Custom partner user roles can be deleted if they are not in use, i.e. they are not assigned to any users. It is not possible to delete Unifyr One’s standard Administrator, Sales, and Marketing roles.

To delete a custom partner user role, follow these steps:

  1. Navigate to Partner Management > User Explorer.
  2. Click Manage Roles. The list of available roles opens.
  3. Hover over the role you want to delete and click on the X next to it.
  4. You are asked to confirm that you want to delete the role. Click Delete to proceed.

    Note

    If this role is assigned to users, a list of the partner accounts and users with the role is presented. You will not be able to click Delete until you unassign the role from those users.

    To do this, click the Partner link next to each user to access the partner account. Go to the Users tab, select the user and remove the role from them in their partner profile. For more information, see Manage Individual User Details & MDF Access.

  5. When the role is not assigned to any users, you can click Delete to remove the role.
