About Deal Registration

Overview

Deal registration is a mechanism to allow partners to tell you when they have identified and are developing a new deal. A deal is similar to an opportunity, but packaged with more detail such as an explicit budget, time frame, requirements, and an identified contact who has the authority to finalize the transaction.

Deal registration is a critical element in nurturing your partner relationships. The best deal registration processes will increase your visibility of channel performance, incentivize partners, provide customer insight, and reduce channel conflict.

If you can convince your partners to register deals with you early in the sales cycle, it allows you to anticipate resource or product volumes. It's important to understand that in registering a deal, the partner is taking a risk and you should actively mitigate that concern. The principal concern for partners is that by revealing a developing deal, they may see it poached either by your internal sales team or another partner. The deal registration process should prevent that by formally attributing ownership of the deal to the partner who registered it. The value for the partner of a well-managed deal registration process is the ability to confidently and optimally negotiate opportunities.

You as the supplier can also register deals on behalf of your partners. Deals you register are stored in Unifyr One Admin and displayed in the partner portal for the related partner.

Keeping track of the main contacts associated with an account is crucial for ushering through the success of a deal. If you have Distributed Leads or Registered Leads, leads are visible on the right side of the Deal Registration screen in the Read-Only panel. If a campaign is associated with the lead, the name of the lead is also in the view. 

Notifications about Deals are routed to these users:

  • The Sales Rep assigned by the supplier/partner to the individual deal - receives notifications about that deal
  • The default Sales Rep assigned in the Unifyr One portal (the partner administrator can manage this setting) - receives notifications about every deal registered, until they're assigned to their own Sales Rep

Deal Line Items can be added by either the supplier or partner as the deal progresses through the sales cycle. It's also possible to add lines of custom information to the deal.

If you are using Salesforce Connector the system checks for updates every two hours. It immediately adds new deals and accounts.

Before You Begin

Make the Deals feature page available in the partner portal to allow partners to also register deals. For more information, see Add a Deals Page to the Partner Portal.

Partners must have access to at least one Deal Type to be able to register deals. For information about managing Deal Types, see Adding Custom Deal Types.

View and Customize the Deals List in Unifyr One Admin

Suppliers can view the list of all registered deals and use the filters to narrow the results to a subset of data for review. You can filter by Status, Stage, Source (e.g. from partner or via CRM integration), Total Value, Currency, Account Country, Deal Owner, Deal Type, Partner, Partner Group, Multi-Partner Status and Co-Selling Partner (if enabled), Close Date, Submit Date, and your custom Deal fields (Field Type must be Radio, Checkbox, Select, or Multi-Select).

You can also customize the columns on the list to view the most relevant information at a glance. To do this, follow these steps:

  1. Navigate to Leads & Deals > Registered Deals.
  2. View the list of deals registered by your partners.
  3. Click the icon on the top right-hand corner of the table.

  4. Drag and drop columns from Available Columns to Selected Columns to make them available in the list.

  5. You can remove a column from the list by clicking the X next to it in Selected Columns.
  6. Click Save.

    If you are an Administrator, you can click the Save As Default checkbox if you want this configuration to be used by all users in your Unifyr One Admin account (except those users that have made a change to their own Column Configuration).

Deal Details View

In Leads & Deals > Registered Deals, click on a deal in the list to open it and display more information. You'll see this information:

  • At-a-glance information about the deal
    • Summary - approval status, current stage, total value, partner, associated pricebook (if applicable), source
    • Stage and progress timeline view. Click the icon_expand_down_arrow.png arrow to expose the timeline, then click on a stage to set it.
    • Standard deal information such as name, type, customer account, total value, estimated close date, co-selling partner (if applicable)
    • Information from the custom fields in your deal form
    • Key dates
    • Included line items
    • Associated contacts
    • Submissions of custom data - non-standard deal information specific to your organization
  • Edit button - accesses the edit view where you can update details, and add attachments, line items, and custom data submissions
  • Actions menu - approve, reject, expire, or delete the deal (depending on its current status)

If Deal IQ is enabled on your system, you'll see a Deal Analysis area. This shows a chronological listing of the AI-driven insights generated by the relevant Deal IQ agent. For more information, see About Deal IQ or Configuring AI Agents.

Register a Deal for a Partner

Suppliers can register deals for their partners. This procedure will allow you to enter the pertinent information and assign the deal to a partner. 

Fields available in the Create Deal form will vary by supplier. Available fields are configured in the Deal Registration Admin form in   > Settings > Forms & Fields > Deal > Forms:

  1. Navigate to Leads & Deals Registered Deals.
  2. Click Create Deal.
  3. Provide the following information, as applicable and as available. Your form might also include custom Deal fields. For more information about managing your deal form, see Form Configuration.

    Parameter  Type  Description
    Deal Name Text  A user-friendly identifier that distinguishes this deal from others in a list. Make the name unique to reduce the chance of creating duplicate records. 
    Account Dropdown List

    The customer account purchasing this deal.

    Select an account from the list or type in the name to be shown suggestions. The list shows all accounts available in Unifyr One Admin. For more information, see About Accounts for Partner Registration.

    Partner Dropdown List

    The partner that owns this deal. 

    Select a partner from the list or type in the name to be shown suggestions. The list shows all partners available in Unifyr One Admin.

    Sales Rep Dropdown List

    The sales rep assigned to this deal by the partner.

    The value can be changed by the partner in the partner portal view of the deal. 

    The Sales Rep value can be pulled to Salesforce as the Contact Sales Rep on the Opportunity if you have an integration. Sales Rep is not editable in Salesforce.

    Deal Type Dropdown List

    [Optional] The type of deal.

    Select a Deal Type for this deal from the dropdown list.

    By selecting the Deal Type, you may be asked to complete Custom Fields that gather different components of the deal such as contacts.

    You can define custom Deal Types in Settings > Forms & Fields Deal > Types. For more information, see Adding Custom Deal Types.

    Deal Owner Text The administrator user that is the supplier owner of this deal.  
    Description  Text [Optional] A brief description of the deal.
    External Id Text [Optional] The identifier for the Deal pulled in from an external integration (up to 18 characters).
    Pricebook Dropdown List

    [Optional] The pricebook that includes the line items for this deal. 

    Select a pricebook from the list or type in the name to be shown suggestions. The list shows all pricebooks available in Unifyr One Admin.

    Total Value Number [Optional] The total expected value of the deal, or the sum of the line items included in the deal.  
    Currency Dropdown List

    Choose the currency of the deal value.

    For a list of supported currencies, see Supported Currencies.

    Stage Dropdown List

    The deal's current stage in the sales process.

    Select a stage from the list or type in the name to be shown suggestions. The list shows all default and custom stages (if applicable) available in Unifyr One Admin.

    You can define custom Deal Stages in Settings > Forms & Fields Deal > Stages. For more information, see Adding and Managing Custom Deal Stages.

    Probability % Number 

    [Optional] How far in the deal negotiations this deal has progressed, expressed as a percentage. A higher value indicates the deal is closer to closing. 

    This value is populated with the default probability value of the specified Stage, but you can change it if required.

    Estimated Close Date Date Selector  The date when you expect the deal to be finalized.
  4. Click Save. The deal is added to the Registered Deals list.

Deal Registrations created from Unifyr One Admin are automatically approved when saved.

To add either of these types of data to the deal, click Edit once you've created the deal, to access the relevant areas. For more information, see Update Deal Details and Add Attachments:

  • Custom Fields - custom data items that you collect from your partners. 
  • Attachments - files that relate to the deal. The partner can access these files via their partner portal view of the deal.

View and Add Deal Line Items

Line items are the products or services that the customer is seeking to purchase. If a deal is associated with a pricebook, you can add the products/services to the deal as individual line items.

  1. Navigate to Leads & Deals > Registered Deals.
  2. Click on the deal you want to edit, to open it.
  3. Click Edit.
  4. In the Deal Line Items section, click Add Deal Line Item. 
  5. Provide the following information:

    Parameter  Type  Description
    Product Text

    The product/service being purchased.

    Select a product from the list or type in the name to be shown suggestions. The list shows all products from the pricebook associated with the deal.

    Quantity Number The number of units required. 
    Total Price Number The total value of the deal - this number is auto-calculated from the Product and Quantity values.
    Description Text [Optional] Additional information that you may need to share with your supplier. For example, size or color specifications.
  6. Click Save.

View and Add Custom Deal Information

Unifyr One provides the option for you and your partners to add lines of custom information to deals. For example, you might want to provide a Call Log for deals, where partners can add an entry for each call they make when prospecting/securing a deal. Custom information types like this are configured with Custom Objects. For more information, see Custom Objects.

You as the supplier can also add entries of a custom information type to a deal, in Unifyr One Admin.

  1. Navigate to Leads & Deals > Registered Deals.
  2. Click on the deal you want to edit, to open it.
  3. Click Edit.
  4. The deal includes a section for each Custom Object you have targeted for deals (to target a custom Object for deals, set Type=Deal when creating it). They’re listed below the Deal Line Items section. Go to the section for which you want to add an entry, and click the + to add the new entry.
  5. Provide the information requested. The available information will differ for every custom information type.
  6. Click Save. The information is added as a new line in the relevant section in the deal.
  7. Click Save to complete the update to the deal.

In this example, the Custom Object Log of Customer Touchpoint has been targeted for deals.

Deal Source

When viewing the Registered Deals list, you can use the Source filter or sort the list by the Source column to view deals of a particular origin. 

These values are available:

Status Description
Unifyr One Partner Registered by the specified partner.
Unifyr One Enterprise Created in an enterprise instance.
Salesforce Imported into Unifyr One via an integration with a Salesforce CRM.
MS Dynamics Imported into Unifyr One via an integration with a MS Dynamics CRM.
External API Imported into Unifyr One via a 3rd party API.

Registered Deal Status

When viewing the Registered Deals list, you can use the Status filter or sort the list by the Status column to view deals at a particular lifecycle stage.

These statuses are available:

Status Description
Pending The deal has been submitted by the partner and is awaiting approval by you.
Approved

You have approved the deal submitted by the partner.

Note: A deal is automatically given Approved status when you register it yourself in Unifyr One Admin.

Rejected

You have rejected the deal.

Rejected deals remain in the Registered Deals list for auditing purposes.

Expired

You have expired the deal.

This usually means that the deal is no longer valid - for example, the pricebook is no longer available or the expected timeframe for the partner to work the deal has come to an end.

Expired deals remain in the Registered Deals list for auditing purposes.

Account Pending

The partner has registered a deal and requested a new account for the customer.

You can approve/reject both the deal and the account.

Update Registered Deal Status

If you have permitted partners to enter deal registration details themselves and are not automating the approval process, you will need to update the statuses of the deals as they are submitted. 

To update a deal's status:

  1. Navigate to Leads & Deals > Registered Deals.
  2. Use filters to narrow the results to a subset of data for review. You can filter by Status, Stage, Source, Total Value, Currency, Account Country, Deal Owner, Deal Type, Partner, Partner Group, Multi-Partner Status and Co-Selling Partner (if enabled), Close Date, and Submit Date. Click More to filter on your customer Deal fields, if you're using them. 

    You can also search by the Unifyr One Deal ID or an External ID if you are using a CRM.

  3. Click on the deal you want to edit, to open it.
  4. From the actions menu, click the action you want to take to progress the deal. The actions that are available depend on the current status of the deal:

    • Pending - can Approve, Reject, or Expire

      You can also choose the delete the deal, for example if it's a duplicate of another one. Deleting a deal removes it from the list in Unifyr One Admin and in the partner portal.

    • Approved - can Reject or Expire
    • Rejected - can Approve or Expire
    • Expired - can Approve, Reject, or Delete
    • Account Pending - can Approve, Reject, Expire, or Delete

      You can also choose the delete the deal, for example if it's a duplicate of another one. Deleting a deal removes it from the list in Unifyr One Admin and in the partner portal.

      To accept/reject a linked account request from the partner, click Edit then choose View Pending Account in the details area of the deal.

Notifications that the status of the deal has changed are sent to these recipients at the partner:

  • The Sales Rep assigned to the deal by the partner
  • If no Sales Rep has been assigned, the notifications are sent to the partner's nominated Default Sales Rep

Update Deal Details and Add Attachments

Suppliers can update some deal data for their partners in the Update Deal view. They can also add files of additional information as attachments.

  1. Navigate to Leads & Deals > Registered Deals.
  2. Click on the deal you want to edit, to open it.
  3. Click Edit.
  4. In Update Deal, update this information, as required or as available:

    Parameter  Type  Description

    Deal Owner Dropdown List [Optional] The admin user that is the supplier owner of this deal.  
    Description Text [Optional] A brief description of the deal.
    Total Value (optional) Number

    [Optional] The total expected value of the products included in the deal. 

    If you're including line items (from a pricebook), this number as a default is auto-calculated from the number of units and the unit cost. You can't edit it.

    Estimated Close Date Date Selector  The date when you expect the deal to be finalized.

    If the Deal Type of the deal you're updating has the Email Sales Rep on Stage Change setting enabled, an email notification will be sent to the default/assigned Sales Rep to notify them that you've updated the stage. For more information, see Add Custom Deal Types.

    Probability Percentage  Number 

    [Optional] How far in the deal negotiations this deal has progressed, expressed as a percentage. A higher value indicates the deal is closer to closing. 

    This value is populated with the value of the specified Stage, but you can change it if required.

    Custom Fields  Various

    [Optional] Custom Fields are data items that you collect from your partners. They supplement the information that Unifyr One collects as part of the standard business processes. The fields available here vary by supplier.

    Deal Line Items Dropdown Line items from the pricebook linked to the deal (if used). For more information, see View and Add Deal Line Items.
    Attachments File Upload

    [Optional] Upload files that relate to the deal. The partner can access these files via their partner portal view of the deal.

    • Up to 10 files can be uploaded per deal.
    • Each file must be 50MB or less.
    • Supported file types include .doc, .docx, .txt, .csv, .bmp, .gif, .jpg, .jpeg, .png, .xls, .pdf, .ppt, .pptx, .ods, .odt, .odp, .odg, .ics, .rtf, and .mp4.
  5. Click Save.

Additional Deal Information

A deal may include some or all of this reference information: 

  • Key Dates - Displays the dates on which the deal was created, last updated, submitted to the supplier, and approved (if applicable).
  • Identifiers - IDs of the deal, both internal Unifyr data and those from an external system, if applicable.
  • Lead Information - The lead that generated the deal, if applicable

View Audit Log for a Deal

You can view a log of changes/updates made to a deal as it progresses through its lifecycle.

  1. Navigate to Leads & Deals > Registered Deals.
  2. Click on the deal you want to edit, to open it.
  3. Click Audit Log icon_audit_log.png. The Audit Log window opens, showing a list of changes made to the deal and the user who made them.

  4. [Optional] Click Export Audit History to download a CSV file of the audit log.

View/Manage Deal Notifications

As a default, these notifications are sent during the Deal Registration process (your notification configuration may vary):

  • New Deal Notification (to supplier) - when a partner submits a deal
  • New Deal Notification (to supplier deal owner) - when a deal is submitted outside the partner portal
    - in Unifyr One Admin or via an integration with a CRM
  • New Deal Notification (to partner) - when a supplier assigns a deal to a partner
  • Approval/Rejection Notification (to partner) - when a supplier approves or rejects a deal submitted by a partner

Add a Deals Page to the Partner Portal

Partners can manage deals registered by you or them in the partner portal, if you make the Deals feature page available to them. You can customize the page to ensure each deal displays the information fields you want partners to see.

  1. Navigate to Partner Portal > Site Configuration.
  2. Click the Partner View to which you want to add a Deals page.
  3. On the left-hand sidebar, under Feature Pages, find Deals.
  4. Drag the Deals page to the required location in your site tree. For more information, see Adding Feature Pages to the Partner Portal.
  5. [Optional] Enable the Enable List Configuration option to select which data fields each deal should display in the page.
  6. Choose the fields by selecting each one from the drop down menu.

    Note

    These fields must always appear, and are shown as locked in the list:

    Deal Name

    Status

    Account

    Total Value

  7. Click Save and Close.

The partner's Deals listing shows the fields you've requested:
